The business was established in direct response to the growing lack of credit in Australia’s mid-range property market; a situation exacerbated by the shortage of reputable, risk-adverse, non-bank lenders.Fortis our property development business, has a portfolio of more than $750 million in successfully completed residential and commercial projects, with a further $560 million to be completed by the end of the year.About the roleThe Tenancy Delivery Manager’s key purpose is to ensure consistent processes are applied to the tenancy retail and commercial fit-outs to achieve a best in class experience, in line with Pallas’ landlord brand. You will work closely with key stakeholders to deliver a seamless end to end tenant fit out journey, from lease execution, through to final handover to occupation.Key Responsibilities:Delivery ManagementTo issue and enforce the Fortis Tenancy Design and Fit Out Guide, including management of the end to end tenancy fit out design sign off delivery process on behalf of the Fortis.Act as the Fortis’s representative in reviewing, providing feedback, and approving the tenants proposed fit out plans.Ensuring the approved fit out plans integrate with the agreed Landlord’s works as set out in the Agreements to Lease between the Landlord and the respective tenants, including identification of any Category 1 or landlord works required to suite the tenants proposed fit out.Management of the tenant incentive progress claims process, as drawn down by each tenant.Forecasting of progress claims, fit out contributions and upcoming costs in relation to tenant fit outs and category one works.Build positive relationships and cross-functional teamwork to develop win-win partnerships and support the delivery of outstanding customer service.Actively manage stakeholders including retailers, key local authorities, shopfitters to ensure successful delivery of tenant works.Coordinate design reviews of individual tenancies and issue comments to the Lessee, including interface with the base build design team, and the tenants fit out design team.Identify and recommend consultants for review of tenant design documentation.Manage the design team appointed to undertake the review of the tenants fit out.Regularly meet on site with and coordinate with project leads to ensure category 1 or landlord works specific to each tenant are being carried out on site in accordance with the tenants approved fit out plans and agreed category 1 works.Manage the delivery of Landlord Works & Category 1’s through to completion within the agreed timeframe and budgets, in conjunction with the Development Manager/Lead for the project.Aid in facilitation and lodgement of tenant consents and local jurisdictional agencies.Lead the tender process and make recommendations in the selection of fit out contractors for undertaking turnkey and speculative fit out works.Manage the handover and commissioning phase for assigned projects.Teamwork & CultureLead and manage in the delivery of various display suites for Fortis projects.Assist in the management of defects, tenant and base build, across the portfolio.Assist in the refurbishment of various assets within the portfolio.Lead excellence in safety management through awareness and application.Undertake reviews and due diligence activities on tenants proposed fit out contractors.Where required, appoint and manage external tenancy coordinators/project managers.Maintain first class communications with tenants and ensure a positive fit out experience.Provide regular reports on status of all fit outs to the directors and project team.Ensure all work on site is performed safely, on time and in accordance with the Safe Work Method Statements (SWMS) to minimize risks and hazards in the workplace.Ensure all key documentation is received from the tenant prior to handover of the premises including but not limited to insurances, contractor documentation, etc.Undertake regular site inspections of all tenancies and manage defect reports.Ensure compliance of all close-out documentation in accordance with contract terms.Ensure the importance of the customer experience is reflected in everything we do.Prepare in a timely manner appropriate documentation and reports associated with reporting to Tenancy Delivery manager and internal stakeholders.Report effectively on progress of works to provide status updates of projects in flight, Ensure tenancy projects are up to date on all administrative tasks including financials, project reporting and general project duties.Develop strong key accounts with external stakeholders and maintain clear lines of communication.Driving a culture of collaboration and accountability to ensure excellent outcomes within the design and delivery space.Display an exemplar approach to the company values and culture.About youMinimum 10 years’ project management/tenancy manager experience.Relevant tertiary qualification in Property, Construction Management, Project Management or Architecture is highly desirable.Experience in delivering tenant/occupier fit-out projects of varying scales applicable to the company’s portfolio.Thorough understanding of the Building Code of Australia practice and principles.Ability to read and understand plans and technical data.A strong customer focus and appreciation of service delivery standards.The people are entrepreneurial, the business is young and proving itself fast: it is a great time to join the group.
