Office Manager and Assistant to the Director of Domestic Sales
As Office Manager and Assistant to the Director of Domestic Sales, your role will be crucial to the smooth operation of the entire business. You will play a pivotal role in supporting the sales process and enhancing client relationships across our media portfolio, including Professional Planner and Investment Magazine. This role primarily involves providing sales support and executive assistance to the Director of Domestic Sales.
The ideal candidate will be an organised and proactive professional with a passion for financial services and a strong commitment to delivering exceptional client experiences.
Key responsibilities
* Office management, including management of company inbox, handling of calls to the company phone line, staff onboarding, and being the main point of contact for office supplies as well as general HR, IT, and finance queries.
* Provide comprehensive administrative support to the Director of Domestic Sales, including heavy calendar management, meeting coordination, and correspondence handling.
* Company-wide organisation of both domestic and international travel, often with tight time frames. For overseas trips, you will work closely with our corporate travel agent to finalise itineraries.
* Booking appointments with high-profile executives, including researching potential contacts and making introductory arrangements.
* Liaising with a wide variety of stakeholders from CEOs to media agencies to our own internal founder and managing director, editorial and events teams.
* Assist the sales team in maintaining their sales pipeline by the creation of contracts and supporting key business opportunities.
* Organise and facilitate meetings and assist with agendas.
* Expense preparation and reconciliation.
* Handling overflow work and ad hoc tasks as directed by the EA to the Founder and Managing Director.
* Some small event planning in collaboration with the two other EAs in the business.
About you
* Excellent attention to detail.
* Strong communicator – both verbal and written. Don’t be afraid to ask the big (and small!) questions when you’re unsure.
* Have a curious mind. Not to blow our own horns, but we do some pretty cool stuff and we want people who’ll be as excited about it as we are!
* Speak up – think something could be done better? Say so! We love a proactive problem solver.
* Team player - you'll be working closely with the EA to the Founder and Managing Director as well as the EA to the Editor in Chief and Director of International, so relationship building and collaboration will be key.
* Good sense of humour – we do serious stuff but we don’t like to take ourselves too seriously.
* And then your regular EA stuff that almost goes without saying: resilience, positive attitude, self-starter, ability to operate with discretion when dealing with sensitive and/or confidential information, etc.
Knowledge
* Advanced MS Office and general tech wizard.
* Composing letters and general correspondence.
* Understand the demands of working with senior executives who at times are under extreme pressure.
* Ability to manage up.
Experience
* Executive assistant, ideally in a publishing/media environment, for a minimum of 3 years.
* Controlling an ever-changing, complex diary.
* Interacting with high-profile people.
