Canberra, ACT Ongoing/Non Ongoing (Non-ongoing will be offered for 12 months) $90,534 - $95,099 + Superannuation About the Division The Scheme Operations Division is structured around the operations of the schemes the agency manages, undertaking a key administrative role in the routine and detailed activities of the schemes.
The Division is the front door to the agency and has a focus on delivery, including working with scheme participants to foster compliance and taking a dim view of non-compliance.The Division is made up of three branches.
The Vegetation and Scheme Transformation Branch supports the administration of projects that sequester carbon through the restoration, regeneration and protection of native forest and plantation forestry activities.
The Branch also undertakes a wide range of functions to improvement engagement, participation and administration of the Australian Carbon Credit Unit Scheme and ensuring scheme integrity.The Soil, Emissions Avoidance and Contracts Branch supports the administration of projects that sequester carbon in agricultural soils and coastal wetlands and reduce the emissions from savanna fires and in the agricultural, industrial, waste and energy sectors.
The Branch also manages the Australian Government's carbon abatement contract portfolio and provides advice on scheme-wide policy issues.The National Greenhouse and Energy Reporting and Safeguard Branch administers the National Greenhouse and Energy Reporting scheme, the Safeguard Mechanism and the operation of the Australian National Registry of Emissions Units.
Across these schemes the Branch ensures that emissions are correctly measured and recorded, and that high emitting facilities are required to reduce emissions or use offsets.
The function of the Australian National Registry of Emissions Units is pivotal to the operation of the Australian carbon market and international trading.
Role Responsibilities and Duties Executive Assistants are a key role within the agency.
Our Executive Assistants work across the agency, supporting our Senior Executive and their branch/division.As a high performing Executive Assistant, you will support the Executive General Manager of Scheme Operations Division by providing high quality, accurate, timely and professional administrative support.
This will include, but is not limited to: Effective diary management and coordination, including but not limited to travel, meetings, papers and events.Monitoring and managing the General Manager's to do lists, key deadlines and activities through the Microsoft suite of applications (such as Outlook, Teams Planner and OneNote).General administrative support to ensure efficient provision of executive assistance, including but not limited to:taking minutes for meetings, preparation of meeting documentation and logistics associated with arranging meetings and administrative support to the Branches/Sections.quality control of documentation, including checking for accuracy and ensuring documentation presented is ready for General Manger review.undertaking ad hoc administrative tasks and projects that support agency objectives such as maintaining organisation charts, mailing lists, leave schedules, ordering of stationery and other tasks.drafting basic correspondence as required.
Creating, preparing and updating reports and visual materials or infographics to collate and present data and information using a range of computer applications such as Microsoft Word, Excel and PowerPoint.Financial reconciliation, undertaking purchasing and payment of accounts and action required in TechOne.Liaising with internal and external stakeholders.Identifying matters for delegation and escalation and actioning appropriately.Participate in the Executive Support Network and attend monthly Executive Support Forums Management of Branch finances and travel in line with allocated budgets.
Qualifications/Experience Our ideal candidate should be able to demonstrate: Proficiency in the Microsoft Office applications (Outlook, OneNote, Word, Excel, PowerPoint).Excellent communication skills and a strong attention to detail.Effective time management and communication skills.Flexibility and resilience to achieve results in a dynamic environment.Interpersonal skills, with an ability to build and maintain strong professional relationships.Previous experience in an executive and/or administrative support role will be highly regarded.
