Our Interventional Radiology practice specialises in different areas of leading edge medicine including minimally invasive, image guided procedures and has an exceptional career opportunity for a dedicated and skilled individual, to join our medical practice as a Part Time Medical Secretary. This is a unique opportunity, allowing you to step outside the standard Medical Secretary duties and use your marketing and business development attributes.

We are a forward thinking, specialist interventional practice, dedicated to providing exceptional care and value the patient experience/journey. Our team is growing and we are seeking a Senior Medical Secretary to help us streamline our operations, work in an agile team and help grow our success. Our medical practice is located in Camperdown, and you would be required to be onsite two of the four days. Our primary focus is on delivering unparalleled patient service particularly and a seamless healthcare journey for our patients in need. Our Practice is currently expanding our team and is looking for an enthusiastic individual to play a pivotal role in our practice’s success. This role initially will be working for another Specialist (along with their staff member), but as the practice grows, you will work solely with the Interventional Radiology team.
You will be working with our Medical Secretary, who will support you with your training.
Our practice benefits from convenient WFH options, and there will be negotiable parking at Camperdown. Utilising your internet, you will be supplied with a laptop to assist you in this role.
This role will initially be 1 to 2 days a week patient facing, and the balance of time performing back office duties (which are just as important). Allowing the best of both worlds.
About You:
As a warm, engaging, empathetic, skilled and most importantly patient serviced based Medical Secretary, you will have the opportunity to grow with our practice. This position would suit someone who is quietly confident, experienced, self-motivated, customer service-oriented and has a warm nature, and who is eager to contribute to our new paperless practice. Initially, you will work with two specialists and their team, and then become the gatekeeper for our Interventional Radiologists. You pride yourself in your enthusiasm for growth and your flexibility and you are a true team player.
The most important aspect of this role is a candidate that has a growth mindset. This is an ever-changing progressive area of medicine, and you will have the drive and initiative to work along with the Specialist to grow the practice and the services. Your role will also be integral to setting up efficient systems and processes, ensuring optimal practice performance and exceptional patient care (this cannot be overstated).
Key Qualifications and Attributes:
* Works in a dedicated team of two receptionists.
* Patient bookings, including video conferencing.
* Theatre list preparation and liaison with hospital staff and anaesthetists.
* Correspondence including referrers.
* Billing, gaps, IFC, compliance and optimisation.
* Provide exceptional customer service and care co-ordinator.
* Demonstrated experience using Gentu or similar medical software programs.
* Outstanding communication skills coupled with a positive, proactive attitude.
* Proactive leadership and business development attributes.
* Previous experience in a Specialist Medical Practice is mandatory (Surgical viewed highly).
* Strong initiative and drive to grow the practice and market the leading-edge medical services, including liaising with referrers and engage in marketing efforts to promote our practice. Drive business growth through innovative strategies and relationships.
* Continuously improve business systems in a rapidly evolving field.
* Professional demeanour with empathetic and warm customer service and attention to detail.
* Ability to work both independently and collaboratively, demonstrating strong leadership qualities.
* Assisting in Public Health campaigns along with assisting our primary specialist with a range of business developing, marketing, awareness and advocacy activities.
* Proficiency in troubleshooting and IT-related tasks.
* PA assistance tasks for our primary specialist including appointments, travel, meetings, speech engagement etc.
* Marketing to the GP’s.
* Ability to excel under pressure, while effectively managing multiple tasks.
* Handling dispute resolutions with patients.
* Personal assistance duties as required.
* Ability to cover leave for other staff if required.
Responsibilities:
* Collaborate to develop and implement new practice systems and processes.
* Manage consultation sessions (including consultant billing) and warmly greet patients.
* Marketing to GP’s and other specialists.
* Managing inbox, email, website, efax etc.
* Provide exceptional customer service through effective phone/email communication and patient interactions.
* Managing patient records including uploading reports/tests/referrals.
* Coordinate patient appointments and manage scheduling.
* Gatekeeper for our Specialists.
* Perform general administrative tasks, such as scanning, faxing, sorting mail, and managing patient inquiries.
* Support Surgeon with various administrative and ad-hoc tasks including Personal Assistant duties.
* Exhibit flexibility and dedication to accommodate Specialist and practice needs.

Working Hours/days:
Four days – days to be negotiated.
Hours: 8:30am – 5:00pm (with a 30-minute unpaid lunch break).
