About the opportunity
We have an exciting permanent part-time opportunity for an Administration Support Officer responsible for providing support to the Industry Education and Guidance (IE&G) department and other Customer and People Experience (CPE) staff by providing administrative assistance and a range of other tasks to align with the Division's objective. The role is working at an FTE 0.6 equivalent to approximately 22.5h per week.
Key accountabilities:
* Provide the following support to IE&G and other CPE staff as required:
o assist with procurement management
o order personal protective equipment (PPE)
o coordinate travel arrangements
o assist with records management using Content Manager.
* Coordinate and take minutes for IE&G meetings with internal and external stakeholders.
* Assist the Education team with the administration of the Licensing Assessment regime as required.
* Provide administrative assistance to the CPD Project Coordinator as requested, including reconciliation of training provider invoices.
* Provide project administration support for IE&G as requested.
* Manage IE&G's relevant pages and content on Energy Safe's intranet, MyESV.Provide support to the Energy Safe Administration Team. Actively participate in monthly administration meetings and assist with administrative projects as required.
* Coordinate meetings and assist with related setup requirements.
To be successful, you'll have:
* Experience in the provision of general administrative support including preparation of correspondence, minute taking and organising travel arrangements.
* Excellent interpersonal skills, with the ability to communicate with a diverse range of both internal and external stakeholders.Proven ability and willingness to provide assistance to others in a team environment and be proactive in seeking work.
* Competency in maintaining office filing using electronic and hard copy records systems and updating databases.
* Well-developed computer skills using a range of computer software packages including Microsoft Word, Excel, PowerPoint, databases, and Outlook.Excellent attention to detail, ability to prioritise, organise and self-manage workload in a deadline driven environment.
* Well-developed written and verbal communication skills and proven ability to be discreet and empathetic in relation to sensitive matters by maintaining confidentiality.
* Ability to operate effectively with minimal supervision.
* Knowledge of Content Manager and PEGA document and work management systems is desirable.
