About the Role: This position will use expert knowledge to support a range of Academic Registry responsibilities, projects and initiatives to ensure the department and Melbourne Polytechnic meet their strategic goals and regulatory obligations.This includes:Communicate and monitor legislative changes implemented by VET regulatory bodies and State and Commonwealth government agencies and provide support to implement new and/or update current institute processes.Support the Director Academic Registry and Deputy Academic Registrar in a broad range of duties including but not limited to, compliance, research and responding to internal and external enquiries and information requests. Duties: Act as Melbourne Polytechnic contact for reporting to the Australian Skills Quality Authority (ASQA) and maintaining accurate Organisation Details on Training.gov.au, the National Register for the VET Sector. This includes any reporting requirements contained in the Standards for Registered Training Organisations (RTOs) 2015.Ensure accuracy of course information held on PRISMS and update as required.Ensure accuracy of Organisation Details and related Senior Secondary Scope items on the Victorian Registration and Qualifications Authority (VRQA) State Register.Ensure accuracy of Organisation Details and approved VSL courses on the Commonwealth's HELP IT System (HITS)Manage reporting requirements relating to the HESG TAFE VET Funding Contract via the Skills Victoria Training system (SVTS). This includes the dissemination of Contract Notifications and timely reporting to the Department where applicable.Use expert knowledge of requirements of Melbourne Polytechnic policies and procedures, legislative obligations and the SMS to support Project Teams to develop and deliver quality training programs and training documentation for related Student Management System projects.Manage Melbourne Polytechnic's membership to an approved Tuition Assurance Scheme (as advised by the Commonwealth and act as the institute's key contact for Tuition Assurance purposes.Implement and maintain Course Registration Register, Courses Cancelled/Deferred Register;Generate monthly Course Currency Reports from the Student Management System (SMS) and disseminate to Senior Executive and Programs departments;Communicate with State and Commonwealth departments and regulatory governing bodies as required.Maintain Melbourne Polytechnic course information on the Commonwealth's My Skills website.Communicate and monitor changes to legislation and provide support to implement new and/or update current institute processes.Other duties as directed by the Academic Registrar or Deputy Academic Registrar. Minimum Requirements: Relevant Degree and/or relevant post graduate qualification and experience; or lesser formal qualifications with extensive experience and expertise in the field of Academic Administration in both VET and Higher Education; or equivalent combination of relevant experience and/or education/training.Knowledge and understanding of the TAFE VET Funding Contract, Higher Education Support Act (2003) (HESA), the VET Provider Guidelines, VET Student Loans Act (2016), VET Student Loans Manual for Providers, VET Student Loans (Courses and Loan Caps) Determination 2016, VRQA's Guidelines for Non-school Senior Secondary Education Providers: Minimum Standards for Registration to Provide an Accredited Senior Secondary Course and ASQAS's Standards for Registered Training Organisations (RTOs) 2015.Proven ability to analyse legislative updates, make necessary changes to Melbourne Polytechnic's processes and provide advice to institute staff.Excellent knowledge of quality standards, legislation and regulatory requirements that apply to VET and Higher Education together with proven ability to communicate and implement processes that support associated compliance.Knowledge and understanding of training products listed on the National Register, Training.gov.au and ability to provide accurate information and advice relating to history and currency of training products, including packaging rules to institute staff.Demonstrated knowledge of Student Management System related projects.Excellent computer skills with a knowledge of software packages, in particular, the office suite of products and Student Management Systems.Demonstrated ability to develop and write Policies and Procedures in line with Quality Assurance and Continuous Improvement.Demonstrated excellent organisational skills illustrated by the ability to be proactive, successfully arrange priorities, meet deadlines and continually improve operational strategies.Demonstrated excellent oral and written communication skills together with the ability to effectively liaise with Senior Executive, institute staff and officers of State and Commonwealth Government Departments.Excellent relationship building skills with key external and internal stakeholders and all levels of staff.Current Working with Children Check (Employee) - mandatory.New National Police Check - mandatory.
