Reporting to the Senior Leasing Administrator, you will be responsible for the co-ordination and management of the lease documentation process following agreement, which includes monitoring, ensuring execution and recording all the information and ensuring lease terms and conditions are maintained for the life of the lease.Your key responsibilities will include:Announce new stores and relocations to the BusinessSet up new stores on Lease Eagle database – from new store sheet, including charges and clausesMonitor and track leases to execution and update Lease Eagle DatabaseCommunicate commercial terms to relevant departments as requiredEnsure all lease documentation, including Contribution deeds and other relevant documents, are correctly executed and returned in a timely mannerFollow up fully executed leases and file in timely mannerSet up and maintain Property Files, ensuring fully executed leases and relevant correspondence is received, scanned and on fileMaintain all Property Databases, including Lease Eagle, spreadsheets, etc., in line with commercial agreements and dates as per Store Development scheduleRun Handover reports and review weekly with Store Development TeamUpdate date changes once approval is received from LandlordsAssist the Senior Leasing Administrator and corporate lawyer with negotiation and finalisation of leases where requiredCo-ordinate execution for all storage licence agreements and upkeep register of all storage units and associated costsUpdate charges in Lease Eagle – outgoings increase each yearPrepare and send any quarterly cap email reminders to landlordsAudit storage units on a regular basis with Retail team and leasing teamLiaise with Operations team to ensure all Shopfitter and Landlord defects have been completed and all conditions of payment fulfilledEnsure payments are received promptly in line with terms of agreementCirculate Outstanding Contribution schedule to management and Finance – weeklyArrange insurance certificates for new stores with our insurerProvide Insurance Certificates for all new stores and annually for all stores to landlords – upkeep register throughout the yearPrepare Certified Sales certificates quarterly (caps) and annuallyAssist Senior Leasing Administrator, Commercial Leasing Manager, GM Property and Leasing Team where requiredLiaise with Landlords in relation to store maintenance issues where landlord is responsible for cost recoveryCommunicate any requests from landlords for access to stores with our Retail TeamAttend new store opening meetings and take minutes to share with the property teamTo succeed in this role, you will need to have the following:Strong communication skills, both written and verbalStrategic thinking with experience in implementing process improvements and efficiencies within a lease administration roleExcellent time management skills - handle multiple tasks simultaneously, with the ability to prioritise and meet deadlinesIntermediate Microsoft Office SuiteAbility to build strong and effective relationshipsAffiliation with Accent Group Core values and “Make It Happen” attitude.Job detailsJob function: Property, Real Estate or Community Association Manager
