Job Description As an Administration Assistant, you are expected to be an active team member of a team which provides high quality early childhood education and care to children. This includes all matters relating to administrative and financial nature of the service. This includes:Welcoming visitors to the service;Ensuring that the administration of the service is efficient and effective;Developing strong relationships with families at the service;Developing strong relationships with other staff at the service;Developing strong relationships with the children of the service;Implementing the policies and associated procedures of the organisation at all times;Working with other staff towards continuous improvement in all areas of the services operations;Ability and discretion to follow up family debtors;Having effective communication skills both written and verbal;Accountabilities and Key Performance Indicators: General Administration Comply with the policies and procedures of the organisation at all times;Work in accordance with the requirements of the Education and Care National Regulations and Care Services National Quality Standard;Manage administration systems as directed including:General administration such as mail;Accounts support including emailing invoices etc to Narnia Central;Enrolment processes ensuring all documentation is completed and entered into Qikkids;Maintain confidentiality;Ensure all documents are created, stored and maintained in accordance with the Centre's document management system and confidentiality requirements;Maintenance of filing systems;Under direction of the Nominated Supervisor, maintain ongoing records of the children's information;Assist the Nominated Supervisor as required with re-enrolments for the following year;Implement service fee collection policy and procedures;Assist families to maintain regular fee payment;Ensure the Nominated Supervisor is informed of any problem arising, which would affect the children, service approval rating, regulatory and legal compliance or the smooth running of the service;Properly organise and manage working time to ensure efficient productivity;Have an understanding of childcare management systems, child care subsidy processes and to liaise with the Department of Human Services and other organisations as required;Perform customer service, telephone and reception duties;Provide effective administration support to other administrative and education team members;Ensure the foyer and work areas are clear of clutter;Ensure family payments are receipted in a timely manner;Ensure family debts are followed up weekly;Ensure family statements are understood by families and emailed fortnightly;Organise maintenance requests as directed by the Nominated Supervisor;Issue access tags to new families;Assist the Nominated Supervisor with excursion permission notes and ensure WWCC are cleared for visiting performers;Submit session reports/vacancies/enrolments every week;Ensure SDS sheets are maintained and updated as needed. In respect of Professional Conduct and Learning Work within the Early Childhood Australia Code of Ethics, the Service philosophy, policies and procedures;Consistently contribute as an effective team member;Actively participate in performance appraisal process;Engage in reflective practice and ongoing professional learning;Develop and maintain positive relationships with families;Attend and contribute to staff meetings and other whole of staff professional learning events;Encourage families to contribute to the community of the centre;Ensure the Nominated Supervisor is informed of any problem arising, which would affect the children, the approval or rating, the regulatory and legal compliance or the smooth running of the Service;Be involved in the Services Quality Improvement Plan and assist to implement this as directed;Perform additional duties as required by (see responsible to):Maintaining supplies and equipment levels for the room or Service;Performing additional administrative duties including but not limited to, signing delivery dockets, organising noticeboards, unpacking deliveries etc. In respect of Organisational Staff Representation and Narnia Actively support the organisation's philosophy, policies and procedures and positively represent the organisation to external contacts at all opportunities;To be aware of and uphold St Philip's Christian College vision, mission, core values and beliefs;To uphold Narnia Early Learning values, vision and philosophy;To work in collaboration;To uphold and implement all centre policies and procedures. In respect of Workplace Health and Safety Work in a manner that does not pose a risk to self or others;Ensure a safe and healthy work environment;Act immediately on any safety issues that relate to the working environment of the Service;Follow Service policies regarding child protection and child safe standards:Inform the Nominated Supervisor of any allegations or conviction of a child protection nature against any other employees, of which you become aware;Ensure compliance as a mandated reporter.Follow Service guidelines in providing a safe environment for children and staff;Understand, implement and review emergency management procedures as required;Ensure the Service's duty of care to children and their families is strictly maintained;Respond positively and consistently to children's additional needs/requirements.
