We are a not-for-profit member-based association based in Sydney, with staff in Melbourne, Brisbane, and Perth operating nationally.
About The Role The Operations Administrator is responsible for supporting the smooth operation of day-to-day activities of the EVC team. This position involves managing emails and communications, maintaining the HubSpot (CRM) database, supporting with membership enquiries and renewals, assisting with invoicing and accounts and aiding the team with logistics and operational matters. The role will work closely with the Chief of Staff and other team members to ensure operational efficiency and support the organisation's goals and objectives.
This Includes (in Summary) Operational and administrative support, including logistical and liaison workSupporting the process of onboarding, retaining, invoicing and communicating with our membersAssisting with internal and external communicationsWorking with external accountants and IT services providers to ensure the organisation is operating smoothlyGeneral administrative support, including inbox and calendar managementA Fuller Picture Of The Responsibilities Of The Role Operational Support : Provide administrative support to the organisation, including helping to administer a consolidated calendar of events for the team and members, assisting in diary management for the CEO, particularly in relation to incoming requests to attend events, HR recruitment and employee onboarding (ensuring compliance with relevant policies and procedures).Assist in organising internal and external meetings and member events, including logistics, travel and communication (including circulating minutes / actions as needed).Supporting with ad-hoc project and other administrative support as required.Assisting with creation of reports on invoicing, member movements and other metrics on behalf of the team.Membership Support : Support the onboarding of new membersSupport external accountants to ensure efficient invoice processing and collectionsSupport with processing membership renewals, ensuring timely processing and communication with members.Maintain the membership database, ensuring adherence to data privacy guidelines.Assist in the development, implementation and ongoing administration of member engagement strategies and tracking.Work with external accountants and Partnerships Manager to ensure collection of member payments and critical information.Communication Support : Support internal and external communication efforts, including supporting the preparation and distribution of key communication materials, such as newsletters and other announcements.Maintain the organisation's website, working with team members to ensure content is accurate and up to date.Accounts and Financial Support : Assist with invoicing and billing, with the support of external accountants as required.IT Systems Support : Support external IT service providers with internal IT queries as required.Project Support : Support the timely and accurate delivery of work related to internal projects, such as the EVC Sales Report and other initiatives.Support the preparation of presentations and other communication materials, including reviewing for formatting and consistency.General Administrative Duties : Answer and direct emails, web queries and other correspondence.Maintain organised document storage systems and ensure documents are easily accessible.Perform other duties as assigned to support the efficient operation of the organisation.Our Ideal Candidate Will Have Exceptional organisation and administrative skillsDatabase experience (with a preference for HubSpot experience)An enjoyment of efficiency and a willingness to work with team members.WORKING TOGETHER Salary range : $70-$80k per annum + superannuation, depending on skills and experience.
This role would be preferably based in Sydney or Melbourne, but we are open to applications from other locations in Australia.
