This is underpinned by our three values - integrity in everything that we do, supporting clients everywhere, and developing and valuing everyone.Position SummaryThis position is to support the Partners, Staff and in particular Managing Partner, through the coordination of all administrative duties relating to the management of the office.Key Responsibilities:FinancePrepare and balance monthly reports: Cash Collection Budget, Gosford Reports, and any other reports as directed.Accounts Payables, review and approve invoices and send to Payables.Accounts Receivables, Receipting, month end rec balance with head office.Debtor Management - Send Statements/Invoices, manage unallocated transactions.Process disbursements and Inter Unit Charges.Expense Claims.Processing transactions in Fraedom Account.Office ManagementSupport the business in answering GreatSoft questions and providing assistance when needed.Update client information, add and remove new clients through our internal system.Negotiate with providers for better prices in relation to: staff amenities; cleaner contracts; food/wine/catering; couriers.Prepare and analyse yearly stationary budgets.Obtain and coordinate parking for Partners.Undertake and participate in office related projects as directed by Managing Partner.Manage roster of PA's/Admin team to provide cover for reception/divisions if someone is absent or on leave.Manage the Admin team including monitoring workload and ensuring divisional expectations are being met.Coordinate and facilitate monthly Admin meetings and Manager meetings.Manage Administration Staff and reporting to Partners regarding staff.Assist with any duties that may arise on an ad hoc basis or as directed by the Managing Partner.General AdministrationMonitor / review timesheets for all staff, send reminders when necessary.Ensure Leave forms submitted correlate to leave posted in timesheets.Organise gifts and flowers for staff as requested.Organise client and work functions, social committee.Onboarding and offboarding of staff in ATO Portal (RAM & Access), Cloud Accounting software and all other software programs.Ensure staff kitchens are stocked with safe and operational amenities such as sandwich toasters, refreshments, etc.Manage any issues around building maintenance.Act as a first point of contact for property management.Weekly shopping order.Management Reports and Minutes for Partner/Manager Meeting LOCA - Cloud Accounting; Xero, MYOB, Quickbooks, accept invites for new client files, update staff access, new ledger files, monthly reconciliation of file, keep staff list up to date.Provide reports for Partners/Managers: account/financial, staffing, legislative requirements etc.Xero Tax Lodgements.NowInfinity/CAS 360, Company Statements, new companies, trusts etc.Long Service Leave Portal, organising staff access.Education Requirements:EssentialCertificate in Business Administration.DesirableBachelor degree in Business Administration.Demonstrated Experience & AttributesEssential1-2 years in a similar role.Strong attention to detail.Technical knowledge of bookkeeping.Demonstrated ability to negotiate and influence stakeholders.Effective interpersonal skills and the ability to work with and provide excellent customer service to a varied stakeholder audience.Proven ability to work in an organised approach in order to ensure meeting strict deadlines.Demonstrated team approach and the ability to work autonomously.Demonstrated experience in a professional or corporate environment.Excellent computer literacy including previous experience using Viztopia.Previous experience dealing with data of a highly confidential nature.The ability to be flexible with regard to role task, demands, timeframes.What's On OfferAs a firm, RSM offers a competitive salary and employee benefits, opportunity for personal and professional development and a friendly and supportive environment.How To ApplyTo apply, please click on the Apply Now button, complete our online application form.
