Job Title On Site Senior Facilities Manager Post Entry Quarantine (PEQ)
Job Description Summary The purpose of the Onsite Senior Facility Manager is to oversee and ensure the efficient delivery of property services, managing the day-to-day operations of the facility.
This role involves leading the facilities management team, ensuring smooth operations, maintaining high standards of service, and ensuring the safety, functionality, and overall performance of the facility.
Job Description Key Responsibilities: Partnering with the Client/Stakeholder(s) Proactively engage stakeholders to ensure that on site client's expectations are met.
Build and develop effective client/stakeholder relationships across multiple levels of the organisation.
Attend all meetings and record meeting details as outlined by the client.
Facilities Management Services Management of Facilities as designated by the National Facilities Manager.
Ensure compliance with statutory regulations on fire, workplace health and safety standards, additionally ensure all essential services maintenance and compliance with relevant Australian Standards.
Recommend continuous quality improvement practices and implement Industry Best Practice operations.
Implement building procedures and performance measures and ensure they are always maintained.
Management of ad hoc works requests ensuring timeframes are met, multiple quotes are obtained, the works are delivered to a high standard and represent appropriate value for money (VFM).
Manage maintenance through the Online Client Portal (Trinana) and Cushman and Wakefield's Work Order Management system (Service Request).
Manage all preventative maintenance works and maintain a regular schedule.
Take immediate action on all priority 1 and 2 work orders.
Review existing operations regularly to reduce costs and improve operational standards.
Oversee and support the operation and maintenance of the physical biocontainment units, in close liaison and consultation with the Account Managers.
Manage and maintain on-site assets and replace as required.
Maintain accurate Asset Management Register (AMR) records and prepare and present the register and an end-of-life report to the client.
Obtain all site regulatory certifications and reports and provide to the Landlord and other stakeholders as advised.
Manage all critical spaces within the contractor store.
Coordinate regular work order quality checks to ensure client requirements and work industry standards are met.
Ensuring everyone stays safe This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers, contractors and visitors.
Report and escalation of WHS near miss/good catches and incidents in accordance with mandatory industry and/or client prescribed protocols, tools and processes.
Manage regular fire system checks as outlined by the client.
Prior to contractors attending the site, ensure all relevant inductions are conducted, permits are raised, and accesses are granted as outlined by the client.
Keeping an eye on the Site & Operations Recommend continuous quality improvement practices and implement Industry Best Practice operations.
24/7 emergency call support and site attendance are required.
On an annual basis, assist completion & provide visibility to the client Site Operations team a detailed property inspection report that aligns to obligations set within the Deed and/or Statement of Requirements.
Manage regular on-site building and compound checks and provide inspection reports as outlined by the client.
Use and maintain a property database Preparedness to develop a strong understanding of the various property management database systems.
Complete, update and maintain applicable web-based management information systems, including uploading various property documentation.
Ensure all data is held accurately in our systems to allow payment in a timely manner, raising any payment related issues with the client immediately for investigation.
Background and ExperienceMust be able to demonstrate experience working with hard and soft services (minimum 5 years).
A strong understanding of building compliance, essential services, BCA, WH&S and environmental obligations within a facility management setting.
Trade certification, degree or license in a relevant field (engineering/mechanical/BMS experience).
Exhibit strong team leadership attributes.
Ability to seek and pursue value for money opportunities for existing and future engagements.
Experience in responding to and satisfying customer requests.
Able to grasp new concepts quickly and efficiently.
Ability to effectively manage time to meet deadlines.
Ability to handle different stakeholders.
Ability to conduct meetings and keep good records.
Experience working in laboratory spaces preferred.
Required Qualification: Australian Citizenship
Must hold or be willing to obtain security clearance
