Job Description:
We are seeking a dedicated and organized Program Coordinator to join our team. The ideal candidate will have prior experience in administration, excellent communication skills, and the ability to work independently. A Working with Children clearance is required and must remain current throughout the term of employment.
Key Responsibilities:
Program Development:
* Review and refine all programs and events.
* Develop new programs to meet the needs of existing and potential users.
* Ensure programs address social and community needs around food preparation and delivery.
* Engage with charity partners to maximize social delivery aims.
Customer Liaison:
* Contact potential clients who have made event inquiries via the website or other sources.
* Provide necessary information to assist in the booking process.
* Communicate with clients regarding their bookings and liaise with sales and kitchen staff as required.
* Maintain mailing and invite lists, including provision of pre and post-event summaries.
Events Coordination:
* Become proficient in the use of all administration and event booking systems.
* Ensure all events are entered into the event management system and kept current.
* Communicate upcoming events to the Kitchen Coordinator and other relevant personnel.
* Liaise with the Kitchen Coordinator on menu options and customer requirements.
* Ensure all events are invoiced on time and provide clients with payment details.
* Generate weekly calendar reports for management and kitchen staff.
* Facilitate smooth running of events by liaising with kitchen staff and providing run sheets and event information.
* Confirm event timing, details, and specific requirements with customers.
* Participate in weekly planning meetings.
* Ensure all recipes and ingredients are entered into the database and assist with food orders for functions.
* Assist in sourcing suppliers and maintaining preferred supplier lists and pricing.
Administration:
* Collate and submit supplier creditor statements.
* Collate weekly invoicing summaries.
* Submit invoices to accountants.
* Assist with managing and reviewing accounts payable and receivable lists.
* Perform general admin tasks, filing, and safe-keeping of documents.
