The Role
As Senior Administrative Officer, you will undertake a range of administrative tasks to ensure the School’s priorities are achieved. That includes coordinating domestic and international selection for the School’s courses. Providing accurate and timely advice and support to prospective and current students and staff. Excellent planning skills and the ability to work both autonomously and collaboratively are key requirements for this fast-paced, pivotal role within the School. The School of Medicine offers highly valued programs. The Medicine, Medical Imaging and Optometry degrees are well established courses with excellent reputations and have been designed to tackle rural work shortages in Australia.
This role offers a Hybrid working model working at Deakin’s Geelong Waurn Ponds Campus and working from your own home. Details to be negotiated according to your circumstances and the needs of the team.
Your key responsibilities will include:
1. Coordinate the domestic and international selection of the school’s courses and provide accurate and timely advice to students and staff. This includes using multiple systems (e.g. VTAC, GEMSAS, Callista, StudyLink) to assess and process applications and coordinate selection interviews.
2. Collaborate with relevant School and University teams to coordinate School webinars and the School’s awards process.
3. Assist with clinical placements for the school’s courses including managing placement data, agreements and compliance requirements and ensure that all placements are compliant with placement agreements between Deakin University and the placement provider and with relevant regulatory requirements.
4. Manage the School’s student data and ensure information is up to date and accurate at all times.
5. Build productive relationships with a diverse range of stakeholders and actively seek to maintain positive relationships.
6. Present information in a clear, structured, concise and tailored way by focusing on key messages.
To be successful, you’ll have:
7. Completion of a Degree without subsequent relevant work experience; or
8. An equivalent combination of relevant experience and/or education/training
9. Experience in administration and related activities in a large organisation with complex administrative structures, policies, and procedures.
10. Experience in operating in a high-pressure diverse environment, involving face to face, phone, and written issue.
11. Experience providing services and support in a large organisation.
