Hawaiian is a leading Western Australian property company with an extensive portfolio which includes shopping centres, office buildings and hospitality assets, employing a team of over 100 people.At Hawaiian our purpose and values are clear- To Enrich people's lives through places and experiences and we are Passionate, Considerate, Collaborative and Curious.Hawaiian is proud to be a leading WA employer, and we invite you to consider Hawaiian in your career journey.Claremont Quarter is Perth's premier retail destination, because it is more than just another shopping centre.With high streets Bayview Terrace and St Quentin Avenue seamlessly flowing into two levels of open malls, a cosmopolitan village atmosphere is created.It covers 30,000sqm and is located in one of Perth's most affluent suburbs, drawing shoppers from across the metropolitan area.Your role as Lease Administrator is to efficiently coordinate all stages of the lease documentation process in support of the retail leasing and centre management team, including the administration from lease instruction to lease execution, ensuring accuracy and risk & compliance is always maintained.Responsibilities include: Maintain and update Hawaiian's Leasing template documents and forms for all properties (Letter of Offer, Disclosure Statement, Bank Guarantee requirements etc.).On receipt of the Landlord's approval for a new deal, instruct solicitors to prepare formal Lease documents in a timely manner.Prepare Disclosure Statement based on an approved Letter of Offer and in accordance with the Retail Tenancy Act.Ensure its accuracy by liaising with the Centre Manager and / or Retail Manager and / or Centre Administration Manager on centre-related items as required and within agreed timeframes.Coordinate review of draft documents with Leasing Executive (first review) and then Centre Manager (second review) within agreed timeframes.Compile comments on draft and advise Solicitors to update documents accordingly within agreed timeframes.Coordinate with Leasing Executive and Centre Manager to send final draft documents to tenant within agreed timeframes.Arrange mortgagee consent as required for documents which are to be registered with Landgate.Liaise with solicitors on Landgate Registration and SAT approvals.Distribute fully executed Lease documents, including inserting relevant dates into Lease, to tenants and file accordingly.Create Owner Incentive Payment Checklist and complete it together with fit-out coordinator.Prepare all small documents (1-page variations, approval to replace pages etc.) as required.Prepare all short-term licenses for Casual Leasing.Qualification Requirements: Minimum 3 years' experience in the retail property industry.Strong Microsoft Office experience with the ability to quickly learn new systems with training.Knowledge of the Commercial Tenancy (Retail Shops) Act.Preferred Skills and Attributes High attention to detail with the ability to understand and interpret commercial lease documentation.Strong interpersonal skills with the ability to build and maintain productive working relationships with internal and external stakeholders.Well-developed planning and organisation skills including the ability to effectively prioritise and manage multiple deadlines whilst delivering accurate and quality work.Well-developed conceptual, analytical and problem-solving skills with the ability to identify opportunities, the need for improvement and implement change.Highly proficient in use of computers and ability to work with internal Hawaiian systems once trained Hawaiian is proud to be a leading WA employer, and we invite you to consider Hawaiian in your career journey by applying now.#J-18808-Ljbffr
