The Administration Manager provides leadership and supervision of the GEGAC administration team. Reporting to an Executive Director or Chief Operating Officer, the role ensures high-level administrative oversight and support to the administrative and reception team to deliver smooth and efficient operation of GEGAC’s administrative functions.
Organisational Profile
GEGAC is an Aboriginal Community Controlled Organisation based on Gunaikurnai Country in Bairnsdale, Victoria. Consisting of about 160 staff, GEGAC is a Not for Profit organisation that delivers holistic services in the areas of Primary Health, Social Services, Elders & Disability, and Early Childhood Education.
GEGAC is a child safe agency and has a zero tolerance of abuse or neglect of children and young people.
Position Purpose
This role is vital for maintaining productivity, enhancing operational effectiveness, and supporting overall business objectives.
Our diverse range of programs includes, but is not limited to, Primary Health and Wellbeing Services, Early Years Services, Family Support Services, Alcohol and Other Drug Services, Extended Community Care, and other services that ensure the safety and wellbeing of children, youth, elders, and their families.
Key Selection Criteria
* Demonstrated understanding and commitment to Victorian Aboriginal Health, Aboriginal culture and the philosophy and practice of Aboriginal Community Control.
* Demonstrated experience in managing administrative and reception functions in a busy office environment.
* Strong leadership skills with the ability to mentor, coach, and develop staff.
* Proven track record of effectively leading and supervising a team.
* Experience in managing performance, providing feedback, and facilitating team development.
* Ability to build and maintain positive relationships with internal teams, external stakeholders, and key partners, ensuring effective communication and collaboration.
* Demonstrated ability to manage multiple tasks, prioritise workloads, and meet deadlines in a dynamic environment.
* Demonstrated ability to anticipate issues and implement proactive solutions to operational challenges.
* Advanced proficiency with office software (e.g. Microsoft Office Suite, calendar management tools), video conferencing platforms, and office management systems.
* Ability to adapt quickly to changing priorities, think critically, and solve administrative or logistical challenges efficiently.
* A keen eye for detail in handling documents, schedules, and communications, ensuring precision in all tasks.
* Familiarity with working in an Aboriginal Community Controlled Health Organisation (ACCHO) or a similar environment, or in the not-for-profit services sector.
* Understanding of workplace health and safety regulations and experience in ensuring compliance.
* Ability to maintain confidentiality and adhere to organisational policies and legal requirements.
* Ability to handle complaints and difficult situations tactfully and efficiently.
* Ability to monitor financial expenditure and assist in financial reporting.
Qualifications and Registrations Requirement (Essential or Desirable)
* Valid Driver’s License ESSENTIAL
* A diploma or degree in a related business administration field ESSENTIAL
* A satisfactory Working with Children Check and Fit2Work Police Check ESSENTIAL
* A person of Aboriginal / Torres Strait Islander background DESIRABLE
* Proof of COVID-19 vaccination to align with mandatory vaccination directive applying to authorised workers ESSENTIAL
