We are looking for our newest Business Support Officer to join our Gladstone Distribution Team. Reporting to the Logistics Manager QLD, this full-time, on-site role at Fisherman's Landing Distribution plays a vital part in the daily administration and financial processes of our operations. Your responsibilities will include creating site purchase orders, receipting invoices, maintaining materials movement data, and preparing reports. Additionally, you will provide essential administrative support, ensuring a welcoming and efficient workplace by handling calls, greeting visitors, and assisting staff and guests.
* Office support - replenishing office and kitchen supplies, filing, handling incoming / outgoing mail
* Assisting in National Fleet reporting
* CQ driver Daily run sheet and Work Diary data entry and verification
* Data processing - working with various team members and suppliers, carry out time sensitive end of month processing
* Purchasing - addressing purchase order workflow and invoicing in an accurate and timely manner via SAP / CAAPS system
* Administrative - assisting site team with following up invoices and payment queries, reviewing and maintaining documented procedures, working closely with the Fleet Maintenance team to provide ad hoc reports / information as requested and anticipate issues for further analysis or discussion
* Liaising with the QLD Regional Transport Managers, workshop staff and our Heavy Vehicle operators
What You'll Bring
* Relevant previous work experience
* Previous experience in the transport industry (preferred)
* Proven SAP experience (preferred)
* Proficiency with the entire Microsoft Suite (Word, Excel, PowerPoint, Outlook)
* Comfortable in being flexible to meet deadlines (eg. end of month processing)
* Willing to learn and contribute to organisational goals and objectives
* Well-developed written, oral and interpersonal skills including liaising and consulting with internal and external stakeholders.
* Ability to effectively prioritise and manage time
* Strong accountability for performance and solutions-focused
* Ability to work with multiple vendors / stakeholders
* Comfortable with shifting between varying tasks
