Your role will involve managing key administrative tasks, including efficient document and records management using TRIM or Content Manager, handling financial documentation, coordinating projects and events, and maintaining effective communication across internal and external stakeholders. You will be responsible for ensuring that records are accurately managed, documents are prepared, invoices and reports are processed, and various administrative services are provided to meet the team's objectives. Your experience in Content Manager or TRIM will be critical in supporting the team’s content and records management systems, ensuring that data is accurately captured, indexed, and accessible as required. Key Responsibilities: Assist in maintaining accurate records by utilizing TRIM or Content Manager to ensure efficient document storage, retrieval, and data entry, while adhering to organizational record-keeping policies and procedures. Provide comprehensive administrative support, including the preparation and processing of financial documents, managing invoices, and assisting with budget tracking to ensure timely and accurate financial operations. Contribute to the planning, coordination, and execution of team projects and events, ensuring seamless logistics and documentation, and supporting the smooth delivery of project milestones and event objectives. Develop, review, and refine essential documents, reports, and correspondence, ensuring that all paperwork meets the team’s needs and is completed accurately and on time. Efficiently handle incoming communications, including managing the team inbox and responding to inquiries, and coordinating internal and external correspondences to ensure prompt and professional responses. Organize and coordinate team members' calendars, scheduling appointments, meetings, and events, ensuring optimal time management and the efficient flow of daily activities. Foster and maintain strong professional relationships with both internal and external stakeholders, ensuring effective communication and collaboration across teams and departments. About You: We are looking for an individual who is: Able to handle a high volume of tasks with precision and accuracy, ensuring that all records and documents are correctly managed and filed. Experience with TRIM or Content Manager, including document indexing, classification, and retention processes. Capable of managing multiple tasks and prioritizing responsibilities in a fast-paced environment. A professional communicator who is adept at building relationships with both internal and external stakeholders. Collaborative, with a strong ability to work well with others in a team environment. Comfortable with change and able to support different aspects of administrative work as needed. A self-starter who anticipates the needs of the team and takes initiative to ensure that tasks are completed efficiently.
