Primary responsibilities include: Organize travel for the Managing Director and wider ANZ team Complete a variety of administrative tasks as allocated by the MD or Senior Leadership Team MD diary and meeting coordination Assist with collating reports as needed by the MD or SLT Manage calendar or agenda’s Creating office communications, including producing the weekly office noticeboard, as well as creating engaging content to inspire our people Organize & coordinate functions, catering, meetings and team events Manage weekly office groceries, keeping the kitchen fully stocked & tidy Ordering stationery, office supplies and business cards, ensuring sufficient supplies Managing visitors, couriers, mail Management of the general office facility. Ensure office remains neat, tidy and professional Act as the “go-to” person for staff across the business About you 5 years' experience working as an Executive Assistant or Office Coordinator Strong written and verbal communication, administrative, and organizational skills Strong Word, Excel and PowerPoint skills. Ability to work under pressure at times to handle various tasks and confidential matters with discretion. Coordinate and organise conferences, training and team functions Partner with the leadership team and create opportunities to boost store morale and engagement through organised team events, celebration of milestones and team moments Create inspirational instore communication across various channels such as internal newsletter, teams and whatsapp group. Support the team in all client centric activities and events such as catering and logistics for private appointments Order and maintain all stationery and client correspondence related materials including postage supplies. Coordinate and oversee the use of all store spaces and meeting rooms, to ensure best in class presentation is maintained Skills and experience Strong relationship management and influencing skills and demonstrated ability to build relationships at all levels in the organization. Self-motivation to think outside the box and develop creative/innovative solutions 3-5 years experience in senior level administrative position. Strong interpersonal skills; good sense of humor Highly proficient in Microsoft Office products, including Word, Excel and PowerPoint. High level of integrity and discretion to be trusted with sensitive employee information and client information Excellent communication skills, both verbal and written. Highly organized, self-starter; strong initiative; prioritization skills; multi-tasker; calm demeanor. Proven ability to work with agility and ability to prioritise multiple initiatives.
