About the Authority:
The Games Venue and Legacy Delivery Authority (GVLDA) will ensure Queensland, Australia and Oceania are ready to successfully host the Brisbane 2032 Olympic and Paralympic Games.
We will maximise the opportunity and legacy of hosting the Games, for the benefit of all of Queensland.
The Authority will deliver new and upgraded venues for use before, during and long after the Games.
We will monitor the delivery of villages and future-proof our liveability by bringing forward activities to ensure we can move safely, conveniently and reliably at Games time.
About the Role:
This dual role will provide EA support for the Executive General Manager (EGM), as well as providing general administration support to the broader team.
Working closely with the EGM, you will provide diary management and meeting coordination, effectively manage the EGMs in-box and ensure accurate record keeping.
As the team’s Business Support Officer, you will be the central support hub of the team and undertake a variety of activities to support the effective functioning of the team including expense reimbursements, supporting new employee processes, records management, overseeing divisional correspondence and logistical support.
About your Responsibilities:
Executive Assistant to the EGM:
* Provide executive support to the EGM to ensure key deliverables are met within agreed timeframes, including complex diary management and prioritisation.
* Be the first point of contact for the EGM, maintaining a personal brand that reflects the EGM amongst a complex group of stakeholders.
* Manage the EGMs mailbox, triaging incoming messages, responding where appropriate and raising awareness of high priority communications requiring attention.
* Manage logistics for meetings, events and travel.
* Ensure all correspondence is accurate and records are kept within the record management system.
* Maintain confidentiality on sensitive executive correspondence and business reporting.
Business Support Officer:
* Coordinate divisional correspondence, ensuring that responses are prepared, reviewed, quality checked and endorsed in accordance with timelines.
* Be the divisional records management ‘super user’, providing advice to the team around record keeping.
* Undertake a broad range of administrative duties to support the team including room bookings, ordering catering, printing, travel and stationery orders.
* Process expenses and reconcile team corporate card expenses.
* Support smooth onboarding of new starters within your division, in collaboration with the People and Culture team.
* Support preparation of procurement documents as required for approval of the EGM
About You:
* Demonstrated experience as an Executive Assistant providing support to Directors or C-suite executives
* Excellent communication skills with a talent for building rapport with stakeholders at all levels
* Experience working within dynamic and multifaceted organisations
* Agile, flexible and highly responsive in a changing environment
* Strong proficiency with the Microsoft Office Suite
