The Administration Officer supports the Coal Inspectorate by providing high level support to the executive and team, by managing, coordinating and providing comprehensive, timely and high-quality information, and delivering key operational tasks.
Outcomes, recommendations and advice is provided to internal staff, other agencies, industries and the general public in relation to complex and sometimes contentious matters in a professional and courteous manner.
Key Responsibilities Provide administrative support within the Coal Inspectorate ensuring that office procedures and systems are efficient, priorities and deadlines are met in accordance with departmental procedures and policies. Manage travel requirements for the Coal Mines Inspectorate ensuring compliance with travel policy and procedures. Organise and manage events, forums and workshops for the region including providing direct support to facilitators. Manage the flow of correspondence from internal and external stakeholders, including assisting with RTI responses. Ensure that correspondence is handled promptly and that sensitive and confidential matters are dealt with in line with applicable legislation, policies and procedures. Management of assets, portable and attractive items, including updating registers. Manage and monitor statutory reporting received in the operational databases, ensuring accurate records are maintained. Analyse, interpret and research this reporting and advise if actions are required by external stakeholders. Undertake and monitor financial management practices for the Coal Inspectorate ensuring that budget compliance, procurement obligations and expenditure approvals and reconciliation undertaken meet requirements under the RSHQ Financial Management Practice Manual and its financial management policies and procedures. Facilities management including coordination of checks on Fire Extinguishers and First Aid Kits and document destruction. Facilitate exams undertaken by candidates applying to the Board of Examiners. Taking of minutes for internal and external meetings as required. The role description will outline any qualifications, licences and specific requirements of the role.
