Job Description Office Administrator Full Time Position | Canberra Location | $60,000 - $75,000 per annum plus 11.5% Superannuation OVERVIEW Our client is currently seeking an experienced Office Administrator to join their team.In this role, you'll deliver excellent service to both industry professionals and the general public, while ensuring that the technical team has the support they need to operate smoothly and efficiently.If you're organised, proactive, and enjoy a collaborative work environment, this could be the perfect opportunity for you!YOUR RESPONSIBILITIES Answer and manage phone calls promptly and professionally, ensuring every call is handled with courtesy and efficiency.Assist with phone queries where possible (including liaising with technical staff).Welcome clients and visitors with a friendly, professional demeanor, making a great first impression every time.Coordinate and schedule inspections for multiple staff members, including confirming appointments and rebooking when necessary.Manage and direct email correspondence, replying to clients and saving documentation in online database files.Set up new project files in the online database, ensuring accurate data entry, project reference, and essential document management.Lodge compliance documents and applications for planning certificates, ensuring timely and accurate submissions.Follow up with clients on project requirements (plans, certificates, signed forms, etc.)Collaborate with governing bodies such as NSW Councils and the ACT Building Registrar to keep projects on track.Upload approval documentation to government portals (ACT & NSW).Attend to other project tasks as requested.EXPERIENCE / REQUIREMENTS Previous experience as an office administrator or in a similar role is a bonus, but our client is also open to candidates with a strong eagerness to learn!Exceptional computer literacy - must be comfortable using and learning various software tools to perform daily duties.People-oriented with excellent communication skills— you'll effortlessly build rapport and nurture lasting relationships with clients and team members alike.Proactive and detail-focused, you'll take the initiative to ensure everything is accurate and organised, playing a crucial role in supporting regulatory functions.Adaptable and resilient under pressure, you'll thrive in fast-paced situations while keeping a calm, solutions-oriented approach to client needs.Aligned with the client's values, your personal principles will reflect the core mission and ethos of the business.Familiarity or exposure within the following industries is desirable (not mandatory); Building/construction Manufacturing Engineering Mining Real Estate IMPORTANT TO NOTE Please be advised If the closing date has passed for the particular position(s) you are interested in, we still encourage an application.Occasionally late applications are accepted and in addition we will retain your resume on our system for other positions as they arise.
