The Opportunity The Tax Team provides specialist global tax support and assistance to the Future Fund Management Agency (the Agency) and the funds managed by the Agency. The primary focus of this role is to provide executive assistance to the Tax Team, which is made up of the Tax Advisory and Tax Compliance teams. The EA in the Tax Team will be experienced in, handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The ability to interact with staff at all levels, in a fast-paced environment, often working against deadlines, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Key Responsibilities Email & diary management Actioning, filtering, prioritising and filing emails as required Planning, scheduling and coordinating meetings Other administrative duties to ensure the ongoing efficient operation of the team as required General administrative support Assistance with processing expenses and invoices for the team Contribute to the management of projects where required Coordination of team meetings Complete all other administrative duties to ensure the ongoing efficient operation for the team Travel arrangements Arrange all aspects of domestic and international travel through our travel provider, having regard to most suitable cost effective travel arrangements and internal travel policies Ensure all necessary documentation is organised for travellers Filing and database management Implement the agreed electronic filing system and identify opportunities to improve efficiencies Tax compliance support Assist with US tax compliance tasks, including collation and filing of US tax forms and notices Assist with the completion and distribution of various tax forms required for investments Relationship management Developing a deep knowledge and appreciation of the team’s key relationships, both internally and externally Executive Support Team responsibilities Work with, and as required co-ordinate activity with, the Agency Executive Support Team Be a proactive member of the wider Executive Support Team About You Skills and Experience Qualifications A certificate in Office Administration or equivalent will be well regarded Knowledge and Experience Experience working as an executive or administrative assistant, preferably in the investment or financial services industry Demonstrated ability to work as a member of a team in a busy office environment and adapt to daily challenges while effectively completing tasks within set timeframes Previous experience around complex travel for domestic and international Sound interpersonal and communication skills including the ability to liaise with and build professional relationships with management and staff at all levels and external parties Advanced knowledge of Teams, Outlook, Word, PowerPoint, knowledge management systems (such as Objective) and proficient knowledge of Excel We Are For Everyone At Future Fund, we are better for our differences.
