Position Overview
We are looking for a proactive Client Services Coordinator to join our chartered accounting firm in Sydney. In this role, you'll manage client caseloads, coordinate administrative tasks, and deliver outstanding client service. The ideal candidate will have strong communication, stakeholder engagement, relationship management skills, and keen attention to detail. This hands-on position suits an experienced team assistant with a background in accounting support and proficiency with industry software, providing essential administrative support with a focus on professionalism and client satisfaction.
About The Role
* Manage client calls and emails, ensuring prompt responses and directing inquiries appropriately.
* Prepare and lodge applications for new business and ASIC compliance obligations.
* Collect and organise client information for file creation and updates.
* Maintain client records, databases, and workflow schedules using tools like BGL, FYI software, and Green Xero.
* Process ATO lodgements using ATO SmartDoc and assist with client-related matters, including reporting and proposal preparation.
* Handle client onboarding, documentation, and government registration for entity set-ups.
* Provide comprehensive administrative support, including billing, WIP management, and expense reimbursements.
* Schedule tasks and maintain checklists to meet deadlines and key due dates.
* Manage ASIC registers, annual review documents, and company secretarial updates.
* Coordinate team training, social events, and internal functions.
* Assist with reception duties as needed and maintain internal staff procedures and intranet updates.
* Prepare client documentation packages (tax, BAS & IAS) and liaise with third parties like the ATO, banks, and solicitors.
About You
* Minimum 2 years' experience in an administrative support role within an accounting or financial services firm.
* Proficiency in ATO SmartDoc, BGL Software, FYI Software, and Green Xero.
* Strong written and verbal communication skills.
* High attention to detail and strong organisational skills.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Positive, professional attitude with a can-do approach.
* Tertiary qualifications in Business Administration or relevant hands-on experience in client services, administration, or accounting.
* Ability to multitask, manage priorities, and work both independently and collaboratively.
* Knowledge of ASIC and tax procedures preferred.
