About the Role Our wonderful Personnel department currently have a vacancy for an experienced and capable Executive Assistant to support the Head and Assistant Head of Officer Personnel. This permanent full-time position will be based out of our Blackburn, Melbourne office. Key Responsibilities: Provide comprehensive executive support to the Head of Officer Personnel and Assistant Head of Officer Personnel to ensure the effective management of their office, schedule and workload. Oversee daily operations by regularly reviewing calendars, emails, meeting schedules, and travel arrangements, prioritizing tasks, managing responses, and proactively addressing potential issues. Develop a range of reports, documents and presentations to support the Head of Officer Personnel and the function. Facilitate strategic working groups and committees by coordinating agendas, engaging stakeholders, taking minutes, tracking action items, and escalating matters when required. Coordinate events and conferences for The Salvation Army (TSA) officers including representing TSA and making decisions in venue bookings, travel arrangements, catering, invitations, resource preparation and overall event support. Draft and issue comprehensive high-level communications to officers, executive leads/internal and external stakeholders. Manage a range of financial processes including expenses, invoices etc. Undertake a range of general office administration to ensure the smooth running of the office. About You To be successful in this role, you will have proven professional experience supporting senior leadership roles, and an ability to stay one step ahead of the workflow. While not essential, an understanding of the tenets of The Salvation Army or prior working history in a faith-based organisation would be favourable. Demonstrated understanding of pastoral and church life culture. Demonstrated relevant experience as an Executive Assistant is mandatory. A Business qualification such as Certificate IV or Diploma in Business Administration desirable. Excellent interpersonal communication skills to build and maintain positive relationships with executive-level stakeholders. Strong technical capability with advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint) and cloud-based services (Teams and SharePoint). Exceptional time management skills and the ability to work decisively under pressure, with a sense of urgency and the capability to work autonomously. Why work for us?
