Key Responsibilities: Correspondence Management: Assess and prioritise incoming correspondence, addressing urgent inquiries and referring documentation as needed. General Correspondence: Prepare correspondence and respond to invitations on behalf of the Director. Meeting Coordination: Co-coordinate meetings, manage diary appointments, and prepare agendas and minutes for committee meetings. Records Management: Oversee effective management of correspondence and records. Technical Support: Assist with electronic programs like eRecruitment and Basware Invoice Processing System. Communication: Maintain communication with staff at all levels and monitor administrative processes. Administrative Duties: Perform additional administrative tasks as needed. Collaboration: Work with other Executive Assistants to ensure seamless administrative support. What We’re Looking For: Secretariat Support: Experience in providing secretariat support to executive committees, including minute-taking and agenda preparation. Office Management: Proven ability to establish and maintain effective office systems and procedures. Meeting Coordination: Skilled in organising meetings and managing itineraries. Team Collaboration: Strong communication skills and experience working in a team environment. Technical Proficiency: Proficient in Microsoft Word, Outlook, Excel, PowerPoint, and web-based programs. Confidentiality and Quality Improvement: Understanding of confidentiality requirements and quality improvement principles.
