Position Summary The Executive Assistant to the CEO plays a critical role in ensuring the CEO operates at peak performance by managing their energy, schedule, and priorities. As the CEO’s right-hand person, you will oversee project progress, manage daily schedules, and create an exceptional experience for team members and clients. Your ability to handle multiple tasks, streamline processes, and adapt to changing priorities will directly contribute to the CEO’s success and the overall growth of the company. You will act as a gatekeeper and confidant, protecting the CEO’s time while enabling them to focus on the strategic, visionary, and high-impact activities that drive results for the business. Objectives As the Executive Assistant to the CEO, you will provide: Executive Support Act as the CEO's right-hand person, ensuring their time and energy are optimised for high-value activities. Proactively manage schedules, emails, and meetings with precision, keeping priorities on track and reducing friction in daily operations. Project Management Overview Monitor and understand the progress of various projects across the company. Provide updates to the CEO and project managers, ensuring alignment with deadlines and strategic objectives. Meeting Coordination Coordinate and manage meeting agendas, take detailed notes, and ensure timely follow-ups. Prepare the CEO with all relevant documentation and context for meetings to enable effective decision-making. Travel and Event Management Arrange and oversee domestic and international travel for the CEO, ensuring seamless logistics. Support the planning and execution of company events, including managing schedules, logistics, and guest experiences. Client Liaison and Service Coordination Act as the main point of contact for client coaching services, coordinating schedules, booking sessions, and maintaining professional relationships to deliver a world-class experience. Document and Presentation Preparation Draft, edit, and format high-quality reports, presentations, and materials for internal and external purposes. Ensure all deliverables meet company standards and align with business goals. Research and Analysis Conduct in-depth research on industries, competitors, or specific topics to support the CEO’s decision-making process. Compile and present data in a clear, actionable format. File and Information Management Develop and maintain organised systems for both digital and physical files, ensuring critical documents and information are easily accessible. Special Projects Manage and execute special projects as assigned by the CEO, ensuring high-quality outcomes are delivered within the required timelines. Technology and Process Support Leverage technical skills to manage administrative tasks, streamline workflows, and document processes that enhance efficiency. Experience with tools like Canva is a plus. Office Environment Management Foster a welcoming and productive office environment for team members and clients, upholding the company’s culture and values. CEO’s Time and Energy Management Serve as a gatekeeper for the CEO, strategically managing their time to focus on areas of greatest impact. Competencies We are looking for someone with the following skills and qualities: Proactive Problem-Solver: Anticipates needs, identifies solutions, and takes initiative. Highly Organised: Manages multiple tasks and deadlines with exceptional attention to detail with minimal supervision. Excellent Communicator: Strong verbal and written communication skills. Ability to take direct feedback and implement changes. Technologically Proficient: Skilled in Google Suite, presentations, email platforms, familiarity with CRM tools and basic design programs like Canva. Adaptable and Flexible: Thrives in a fast-paced environment, resourceful under pressure and is comfortable with occasional travel and after-hours tasks. Team Player: Understands that their role supports the CEO’s performance, which ultimately benefits the entire team. Education and Experience 3-5 years of experience preferred in an administrative or executive support role, preferably in a fast-paced environment.
