About the role We want you to bring your professionalism, energy, organisation skills, and enthusiasm to this role, supporting our executive team by efficiently managing administrative tasks and ensuring smooth day-to-day operations. You will serve as a trusted liaison between executives, departments, and external stakeholders, handling communications with professionalism and discretion. Calendar Management: Coordinating and prioritising executive schedules including meetings, appointments, and travel arrangements. Anticipating potential scheduling conflicts and proactively resolving them to optimise productivity. Communication and Correspondence: Managing incoming emails, calls, and inquiries on behalf of executives, responding promptly and effectively. Drafting and proofreading correspondence, reports, and presentations with a meticulous attention to detail. Meeting Coordination: Arranging and coordinating meetings, both internally and externally, ensuring all logistical aspects are considered. This includes scheduling, venue booking, and ensuring necessary equipment and resources are available. Documentation and Record-Keeping: Maintaining accurate and up-to-date records, files, and databases. Organising and archiving documents systematically for easy retrieval and reference. Travel Arrangements: Facilitating travel arrangements for executives, including transportation, accommodation, and itinerary planning. Providing comprehensive travel briefs and assistance as needed. About you Personality will be a key factor, but you will need to have the following experience and qualities to thrive in this role: Exceptional organisational and time-management skills, with the ability to prioritise competing tasks effectively; Excellent written and verbal communication skills, demonstrating precision and accuracy in conveying information; Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and familiarity with administrative systems; Discretion and confidentiality in handling sensitive information.
