The successful candidate will be responsible for providing leadership, management, and development, working closely with the Account Manager, client stakeholders, and supply partners (AV and Catering) to ensure all aspects of planning are taken care of and fulfill the confidence of delivery to a high standard for each event or function.
Snapshot of your day:
Responsible for the planning, leadership, strategic direction, and implementation of all corporate functions and events within the Account, delivering a best-in-class / 5-star offering.
Create and chair event planning meetings, implementing a run-sheet per event capturing all areas required.
Having good knowledge of site operations, encourage active improvements & provide feedback to requestors ensuring communication is a focus, for easing of requestor confidence towards event delivery.
Ensuring that all key client events are accommodated in the workplace with appropriate vendors communicated and briefed accordingly.
Co-ordinate any catering, audio visual, and equipment requirements requested by the client and inform AV and catering team of any urgent last-minute requests.
Develop and maintain a system to actively seek and provide proactive feedback relating to corporate functions or events in areas such as customer satisfaction, cost control, work scope, innovative improvements, and any additional services; Ensuring requestor/client issues are dealt with effectively at the appropriate level.
Responsible for ensuring all associated department costs are invoiced correctly and in full, achieving approvals prior to any service being rendered with accurate quotations and costings.
Management of all costings relative to each individual event or function, ensuring that all expenses are invoiced, receipted, and paid within timeframes as required.
Regular reporting for all event management operations including financials and health and safety.
Manage meeting room bookings and central reservations inbox.
Be available to work a rotating shift with team members between the hours of 7.30am to 6pm to also be on call for any early or late events when required.
The ideal candidate:
A minimum of 3 years demonstrated experience within the industry in a similar position and premium environment.
Strong food and beverage knowledge; level of experience in the field desired.
Thoroughness and attention to detail is essential; consistent high quality of service required.
Self-motivated with strong organizational and time management skills required.
Strong verbal/written communication skills and excellent personal management level presentation.
Experience in a Corporate/Social & Hotel executive functions environment in Events Management.
Understanding of Audio Visual, IT capabilities, and catering requirements.
