The role Our Canberra office has an opportunity for an enthusiastic and professional Administration and Facilities Assistant to join our National Corporate Services team.
In this client facing role, you will be the first point of contact to meet and greet clients and visitors, assist with booking meeting rooms and liaise with staff to deliver a professional client experience.
You will provide high-quality and proactive administrative support to our partners, fee earners, and practice assistants across teams and locations.
The working days for this role will be Monday to Friday, 9.00 am to 3.00 pm.
This is a fantastic opportunity for a self-starter who has experience in a similar administration role.
You will have exceptional communication skills with the ability to build relationships at all levels and enjoy working in a professional services environment.
The key responsibilities and requirements for this role are as follows: Responsibilities Reception duties, including greeting visitors and maintaining office cleanliness.
Coordinating meeting room bookings and handling technical requirements.
Managing mail distribution, registers, and courier items.
Ordering and organizing office supplies.
Assisting with document management, archiving, and file maintenance.
Supporting client meetings, including arranging catering and refreshments.
Assisting with office access, workstation setup, and travel bookings.
Handling inquiries, calls, messages, and document preparation.
Providing general administrative assistance, including filing and scanning.
Assisting with events, including logistics and organization.
Contributing to ongoing initiatives, projects, and social activities.
What you'll need: You will possess a keen interest and enthusiasm to learn, along with the ability to collaborate as part of a team, interact effectively with clients and internal stakeholders, and be willing to assist the wider national practice support team as required.
You will also have: Certificate in Business Administration, Legal Services or any other administrative certification would be highly regarded.
Strong client service orientation with the ability to professionally communicate with internal and external clients at all levels.
Excellent written and verbal communication skills.
Highly effective team player who maintains an enthusiastic, positive, and proactive approach.
Ability to work under pressure and meet deadlines with excellent organizational skills.
Excellent attention to detail and professional presentation.
Working knowledge of the Microsoft Office Suite, including advanced Outlook and Word, intermediate Excel, and PowerPoint skills.
Previous experience in a legal environment or law firm is desirable but not essential.
The successful candidate will need to be an energetic, driven and focused individual.
