The role: This is a fantastic opportunity for an experienced and professional Executive Assistant to support the CEO of a prestigious family office in a dynamic, challenging, and rewarding role. Key Responsibilities In this role, you will be responsible for: Complex Diary and Calendar Management: Efficiently managing the CEO's schedule to ensure smooth time management and minimise conflicts. Executive Advisory Support: Keeping the CEO informed of high-priority matters with associated deadlines, and preparing relevant documents to support decision-making. Document Preparation: Preparing correspondence and presentation materials for the CEO, and as needed, for other key executives, using Word, Excel, and PowerPoint. Event and Sponsorship Coordination: Managing the administration of key sponsorships, as well as planning and organising offsite meetings and corporate events. Travel and Expense Management: Coordinating travel (domestic and international), including booking flights, accommodation, and preparing itineraries, along with processing expenses. Prioritising and Managing Documentation: Ensuring reports, business papers, and correspondence are prepared, proofread, formatted, and dispatched promptly. Special Projects: Assisting the CEO with designated projects, supporting the broader strategic goals of the family office. Skills and Experience Proven experience supporting a C-suite Executive, ideally within a family office, financial services, or capital markets setting. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Exceptional organisational skills, with the ability to prioritise tasks and stay one step ahead. Strong initiative, confidentiality, and loyalty, with the capacity to work independently and proactively. Excellent communication skills, both written and verbal. Team-oriented approach, with the ability to build effective relationships internally and externally. High attention to detail, time management skills, and flexibility under pressure.
