The Role You will be tasked with the pivotal role of overseeing the seamless day-to-day operational coordination and execution of all services and requisites essential for the successful management of conferences, events, and meetings.
Ensure all Functions and Events are delivered to the best of our team's execution ability, meeting all of our Company Standards and Procedures. Ensure all Supervisor duties are performed according to Company Standards & Procedures. Supervise the day-to-day general floor operations of conferences and events to achieve consistency and a high level of guest satisfaction. Respond to guest enquiries, requests and complaints in a prompt and courteous manner, taking responsibility to ensure maximum guest satisfaction at all times. Assist the Events Operations Manager to ensure staff levels are sufficient, in line with the budget and forecasted business. Maximise net profit by the control of consumable items and labour. Assist with the completion of all rosters, ensuring they are completed and approved by the Events Operations Manager in the required timeframe, and that all overtime & job-share are filled. Ensure the security of event operations is maintained with consistency and in accordance with the relevant legislation. Ensure that all hire equipment and corporate freight arrives and departs the island as per client and hirer's directions within 24 hours of the function pack down. Ensure that there is adequate stock on hand of all items necessary to carry out a particular event in accordance with the client's needs and expectations. Identify and implement trending changes and improvements through presentation and services delivery. Ensure the department SOP's and Manuals are kept up to date and relevant. Liaise with the Maintenance Manager on a monthly basis to ensure that equipment and operational areas are repaired, maintained and cleaned regularly. Assist the Operations Manager with any project tasks as required and assigned by the Director of Events and Events Managers. Assist in staff briefings and debriefings around group arrivals and departures, recording all relevant information for improvements for future functions. Take a hands-on responsibility for the setup and breakdown of exhibits and displays. Assist Management and Workplace Trainers with staff training, taking on a mentor role to Assistant Managers and Supervisors. Attend meetings, training and other duties as directed by the Operations Manager. Perform all duties enthusiastically and in accordance with the HIE Values and Behaviours statement and the HIE Code of Conduct. About You For a candidate to achieve success, they must possess impeccable personal presentation, exceptional communication and interpersonal abilities, effective leadership qualities, a motivational and enthusiastic demeanor, the capability to thrive under pressure, and dependability and adaptability in handling shifts and rosters.
Certificate IV of Hospitality Operations or equivalent (Essential). Responsible Management of Licensed Venues – RMLV (Essential). Drivers Licence (Essential). Ability to obtain a RDA, Restricted Drivers Authority (Essential). Responsible Service of Alcohol – RSA (Essential). Demonstrate thorough knowledge and skill set in conferencing and events (Essential). Previous use of Microsoft Word, Excel or equivalent (Essential). Previous senior supervisory experience within a banqueting environment (Essential).
