Transformation Management Office Role at Optus

The Associate Director, Transformation Management Office is responsible for overseeing the delivery of transformation initiatives within the Customer Success portfolio.
This role works closely with senior leadership and cross-functional teams to drive digitally led transformation activities.
The Associate Director leads governance, change management, and performance for critical initiatives, influencing outcomes, making recommendations on funding, and managing feedback from key stakeholders and the Customer Success leadership team.
Strong communication and leadership skills, especially in matrix environments, are essential for driving business-oriented initiatives.
The role also ensures compliance with Optus Enterprise Delivery Office (EDO) guidelines and serves as the primary liaison for communications and changes from the EDO and other business units.
Key responsibilities include aligning delivery methodologies, improving prioritisation processes, and integrating agile and non-agile practices to ensure accountability, transparency, and efficiency.
These efforts support the achievement of the Customer Success Annual Operating Plan (AOP) and strategic goals.
Familiarity with Jira Align is highly regarded. The ability to leverage Jira Align and confluence for managing large-scale transformation portfolios, tracking progress against strategic objectives, and providing executive-level reporting will be essential.
Responsibilities:
* Portfolio Management: Oversee the Customer Success Portfolio, ensuring projects align with business and strategic goals, and are delivered on time, within scope, and on budget.
* Governance and Compliance: Ensure transformation initiatives adhere to Optus Enterprise Delivery Office (EDO) standards and processes.
* Change Management: Lead change management efforts to ensure the smooth adoption of transformation initiatives and promote digitally-driven ways of working across Customer Success.
* Stakeholder Communication: Act as the main point of contact between the EDO and Customer Success teams, facilitating communication between delivery leads, initiative owners, and senior leaders.
* Resource Allocation: Oversee the tracking and allocation of project resources to ensure transformation projects are adequately staffed.
* Portfolio Health and Reporting: Track and report on portfolio status, leveraging Jira Align to manage large-scale transformation portfolios, track progress against strategic objectives, and provide executive-level reporting.
* Process Improvement: Evaluate and improve processes, tools, templates, and playbooks to increase efficiency and ensure alignment with the EDO framework.
* Financial Oversight: Oversee budgets to ensure cost-effectiveness across transformation projects.
* Risk and Issue Management: Identify and address risks and issues promptly to keep transformation initiatives on track and within scope.
* Cross-functional Collaboration: Work with business units and teams across Optus to ensure smooth execution of transformation projects and alignment with company strategies.
* Quarterly Capacity Planning: Support resource planning by ensuring that resource requirements for critical transformation initiatives are captured, aligned with strategic goals, and meet the demands of both ongoing and upcoming projects.
* Team Leadership: Lead, mentor, and develop the Transformation team, fostering a high-performing, collaborative environment to drive project success.
Requirements:
* Project Management Professional (PMP), PRINCE2, or similar project management certification.
* Agile (SCRUM, SAFe) certification or equivalent.
* Lean Six Sigma or Change Management certification (advantageous).
* 10+ years in project or program management, with at least 5 years in a leadership role within a PMO, overseeing transformation initiatives.
* Proven track record of successfully delivering large-scale transformation or business change projects.
* Proven experience in managing relationships with a diverse range of stakeholders, including senior executives, external partners, and other key decision-makers.
* Experience working within matrix organisations and leading cross-functional teams.
* Familiarity with governance frameworks and financial management, including managing budgets, resource allocation, and tracking project costs.
* Ability to oversee portfolio performance, track ROI, and ensure financial accountability.
* Strong analytical skills to track project progress, identify risks, and ensure alignment with organisational goals.
* Expertise in reporting and presenting transformation outcomes to senior leadership.
* Familiarity with Jira Align managing transformation portfolios, tracking progress against strategic objectives, and providing executive-level reporting.
