Join the team that transforms the sports landscape and creates a legacy of excitement, engagement, and inspiration.About the role:Reporting to the Senior Account Manager, the Event Administration Officer is a key player in ensuring seamless event coordination, business administration and outstanding customer service.
This is a Parental Leave 12-month maximum term contract role supporting the Events and Bookings team and the overall Commercial team.
This role will have direct involvement in the planning and execution of a variety of sporting events and catered functions across our premier venues.
The position will also provide general business support across our team and have significant involvement with our food and beverage team in the planning of award nights and catered events.
Your organisational skills and customer-focused approach will help bring a variety of events to life from planning and execution to feedback and reporting.Your responsibilities will include:Provide efficient support and customer-focused service to sports partners and hirers.Manage venue availability, respond to enquiries, coordinate bookings, and prepare hiring agreements.Assist with the planning and administration of catered functions, including presentation dinners, gala events, and award nights.Develop event documents, booking confirmations, and checklists to ensure smooth event execution.Generate invoices, process payments, and assist with debtor follow-ups.Coordinate with clients, contractors, caterers, event promoters, and state sporting associations for seamless event delivery.Support junior team members and ensure smooth collaboration within the Events and Bookings team.Utilise VenueOps event management software to record transactions, bookings, and client interactions.Required skills and Qualifications:A proactive, customer-focused professional with strong administrative skills.Excellent planning, scheduling, and organisational skills, with the ability to juggle multiple tasks under tight deadlines.Strong communication and collaboration skills to engage with a variety of stakeholders.Experience in managing event bookings and working with clients to ensure their expectations are met.Tech-savvy with strong skills in booking systems, Microsoft Word, Excel, and Outlook.Victorian Working with Children Check.Why is this a great place to work?You will love working at the State Sports Centres.
