The Parent-Infant Research Institute (PIRI) is a leading Australian research institute focusing on understanding parent and infant well-being, developing treatments, and supporting parents and their babies during the first 1000 days of life. PIRI is affiliated with the Melbourne School of Psychological Sciences, University of Melbourne, through joint honorary positions.
About the Role
This position provides administration support to the Director of the Parent-Infant Research Institute, working collaboratively with the Business Manager, researchers, psychologists, agencies, and the University of Melbourne.
Key Responsibilities:
General Administration: drafting emails, Zoom admin support, managing daily business, bookings, stationery, visitor queries, maintaining PIRI environment.
Assisting in budget acquittals and financial accounts preparation.
Problem-solving day-to-day problems.
Job sharing tasks and handover as needed.
Recruitment and employment of research staff, familiarization with Success Factors and Kronos systems.
Liaising with HR and Payroll Services.
Coordinating meetings; contributing to Policy and Procedures.
Management of postgraduate research students and visiting fellows.
Research Administration: assisting with grant submissions, progress reports, financial auditing, and paper preparation for publication.
Managing research documentation, grants, and collaborations.
Developing familiarity with research and hospital systems (NHMRC, CRE, budget acquittals, Standards, Risk Management, Clinical Placement Framework, registration check for psychologists).
Liaison with Austin Health, external health professionals, national and international investigators, and relevant services.
Undertaking other ad-hoc activities as requested.
About You
We are seeking a flexible and efficient person who can work independently, manage tight timelines, enjoys working in a team environment, and has excellent written and computer skills.
Detailed Qualifications and Experience:
Senior administration experience.High degree of organizational management skills, including ability to deal with various tasks simultaneously and manage tight timelines.Excellent communication skills, both written and oral.Understanding of grant processes, including NHMRC grants, progress reports, and research publication requirements.Familiarity with managing staff processes and budgets.Advanced proficiency in computer operation, including Office 365 (Microsoft Word, Excel, PowerPoint), Access, Microsoft Explorer, Internet, and EndNote software.
