The Role
The purpose and objective of this position is to project a professional image for Amana Living Corporate Office, offering welcoming and helpful reception and information services to visitors, tenants, and staff in the building.
KEY DUTIES AND RESPONSIBILITIES
Reception Duties
8. Welcome tenants, visitors, staff, and contractors, providing necessary guidance.
9. Always maintain a polished and professional appearance.
10. Manage the booking system for visitor parking coordination.
11. Demonstrate efficiency and professionalism in all reception-related tasks.
12. Manage multiple tasks and priorities effectively
Phone Management
13. Answer all incoming calls and take messages promptly.
14. Return missed calls within two hours
Confidentiality
15. Exercise discretion and confidentiality at the corporate reception.
16. Prioritize the protection of confidential information.
17. Adhere to company policies and procedures.
18. Uphold high standards of ethics, integrity, and confidentiality
Requisitions and Invoicing
19. Raising requisitions against quotes/invoices, follow through to goods received.
Workplace Health and Safety
20. Conduct comprehensive Corporate Office new starter walk-arounds and fulfil safety roles.
21. Address ad-hoc WHS tasks and if required assist proper sign-in/out procedures for visitors and contractors.
22. Perform weekly inspections of the archive room for safety issues.
Records Management
23. Manage inbound emails and facsimiles efficiently
24. Distribute emails to the appropriate recipients or departments.
25. Maintain electronic filing systems for easy retrieval of documents.
Outbound Courier Management
26. Coordinate outbound courier services for sending packages and documents.
27. Prepare shipping labels and documentation accurately
Building and Facilities Support
28. Conduct comprehensive Corporate Office new starter walk-arounds and fulfil safety roles.
29. Hold keys for temporary access by authorised maintenance contractors and visitors.
30. Report faults and incidents to the property helpdesk / strata
About you
31. Demonstrated ability to communicate effectively with a diverse range of individuals, both verbally and in writing.
32. Proficiency in conveying information clearly and professionally.
33. Proven capability to handle multiple tasks simultaneously while maintaining attention to detail.
34. Strong organizational skills, including the ability to prioritize and manage time effectively.
35. A track record of providing exceptional customer service, with a focus on creating a positive and
36. welcoming experience for visitors and callers.
37. Competency in using office equipment, including phones, printers, and intermediate computer applications (e.g., Microsoft Office Suite, Account Reconciliation Manager (ARM)).
38. Ability to exercise discretion, especially in handling sensitive information at the corporate reception.
39. Understanding and commitment to maintaining confidentiality in all interactions.
Essential Criteria:
40. Evidence of COVID-19 and Current Flu vaccinations per Amana Living policies
41. Ability to obtain a National Police Clearance (within 6-months validity)
42. Successful completion of pre-employment form and reference checks
