About the roleAs the Executive Assistant to the CFO, you'll take ownership of a broad range of responsibilities that are essential to Challenger's Finance and Group Services division which includes Finance, Legal, CoSec, Transformation, Technology and the CFO's office.Your ability to anticipate needs, stay one step ahead, and maintain impeccable attention to detail will be critical in supporting our CFO's daily operations.You'll work closely with leaders and teams across the whole of the Challenger business as well as liaising with external stakeholders and the CFO's network.This role requires someone who excels at building trusted relationships and can navigate complex organisational dynamics with confidence and discretion.Some of your responsibilities will include (but aren't limited to):Diary and Calendar Management: You'll handle extensive diary management for the CFO, balancing complex schedules, prioritising key meetings, and ensuring time is allocated for essential reviews and preparation.At times this will extend to assisting with the diaries of one or two of the CFO's direct reports.Meeting and Event Coordination: Organise internal and external meetings, managing room bookings, preparing agendas, coordinating catering, and following up on action points.You'll take the lead in planning strategic offsites and executive events, working closely with other executive support teams.Travel and Logistics: Arrange seamless domestic and international travel, from flights and transfers to accommodation, coordinating schedules across multiple time zones to support smooth logistics.Expense Management: Oversee monthly expense reconciliation and processing for the CFO, ensuring timely signoffs and accurate reporting in alignment with corporate policies.Take a lead in championing compliance with the corporate expense policy especially through the EA/PA network at Challenger.Email and Communication Management: Proactively manage the CFO's email, prioritising messages, drafting responses, and ensuring all correspondence is handled efficiently.Act as a key contact for stakeholders, filtering communications to ensure clear, concise information is conveyed.Executive Admin Support: Helping prepare board papers and coordinating materials for executive and board offsites.Collaborate with other executive offices to ensure accuracy and alignment of reporting.Analysing data and preparing a high level of confidential documents, correspondence, communications, presentations, spreadsheets, papers, and reports on behalf of the CFO.Divisional Culture Champion: Set the tone for a fun, collaborative and engaged office environment.Organise CFO initiatives which support employee engagement including birthday teas and year end care packs as well as an opportunity to play a role on the divisional social committee or learning & development committee.The skills & experience you'll need:To succeed in this role, you'll need to have experience supporting an Executive in an Executive Assistant capacity.You'll be proactive by nature, personable and able to build positive relationships and collaborate effectively with colleagues, stakeholders, and team members.The ability to adapt to changing priorities and handle unexpected situations will be important.You should be flexible and able to adjust plans and work effectively in a dynamic environment.You'll also need: Attention to detail: Meticulousness in all matters, from managing diaries to handling email communications and Board papers Problem-solving skills: Advanced ability to identify risks and issues proactively.Written communication skills: Strong written communication skills for formal papers, presentations, and corporate communications.Logistics and coordination: Expertise in coordinating complex schedules and solving logistical challenges.Financial management: Experience managing financial budgets and overseeing procurement / expenses.Event coordination: Prior experience in team event coordination and management Tech-savviness: Proficiency with tools like Microsoft Office Suite, Teams, WebEx etc. Additional InformationWorking at Challenger means being part of a diverse, connected team that has fun and loves what they do.We're small enough, but big enough to accelerate bold ideas, realising what's possible for our customers and partners.This is a Sydney based role from our heritage Martin Place based office, a stone's throw from the new Metro.At Challenger, we provide access to a range of exclusive employee benefits that will support you both personally and professionally including: Discretionary bonus scheme Eighteen weeks paid leave for all new parents.Challenger Day -
