How will I help?
The Executive Assistant is accountable for supporting the CEO of BT Financial Group and the Leadership Team by providing a wide range of professional administrative, operational, project and business support. This role interacts with a wide range of individuals, from senior executives, internal stakeholders and employees requiring exceptional organisational skills and an adaptable interpersonal style.
Responsibilities include but are not limited to:
Build good interpersonal relationships using strong relationship skills.
Show flexibility with work hours and availability as needed.
Manage inbox and calendar for the CEO, including professional and personal scheduling.
Prepare paperwork, ensuring all documentation and reading material are ready before deadlines.
Support executive reporting, including leave balances, mandatory training, office attendance, Motivate and Voice+ completion.
Organize monthly All-In meetings and team events, including creating meeting packs.
Work with other EAs to organise team communications and plan events both internal and off-site.
Organise the CEO’s travel logistics and activities, including accommodation and transportation.
Maintain efficient and effective physical and electronic filing systems.
Process and reconcile pCard, invoices, and reimbursements in Coupa according to policy.
Support the wider team with ad-hoc administrative tasks as needed.
Brief the Heads of on relevant matters affecting the business, as required and maintain the strictest confidentiality on all issues.
Screening incoming communications – re-directing and actioning where applicable.
Assist other Heads of when their support is on leave.

What do I need?
To be successful in this role, you will have the following knowledge, experience, expertise and/or qualifications:
Substantial experience as an Executive Assistant for Senior Management.
Proficient in Westpac systems and processes including PHQ, eAcademy, Coupa, UAR, and IT Service Desk is beneficial.
Strong organizational, written, and verbal communication skills, with expertise in Microsoft Office programs.
Attention to detail with the ability to multitask.
Excellent customer service, stakeholder management, and forward planning abilities.
Sound analytical skills and the ability to distinguish between critical and non-critical issues while collaborating with others to achieve outcomes.
