We're on the lookout for a bilingual Executive Assistant who is proficient in Japanese and English to join our team supporting the VP of Bondi Sands, the Controller for Bondi Sands and Senior Director of Finance AUNZ.
What is the role? As Executive Assistant, you will provide high-level comprehensive support to three executive directors, acting as a key conduit to the executive team to drive efficiency and productivity within the business.
To ensure smooth collaboration and effective communication, proficiency in Japanese is a key requirement of this role in order to effectively support our executives who have joined us from Kao HQ in Japan.
You will also be a key contributor to the employee experience, this role will also ensure the Port Melbourne office operates smoothly through the fulfillment of various office management activities.
Key areas of responsibility will include: Supporting the executive directors with designated executive administrative tasksDiary management for both executive directors, assessing priority and reallocating where necessaryExecutive meeting coordination including agenda preparation, presentation materials, documents, reports and minute-takingAssist executive directors in researching and following up with action on executive leadership team matters e.g.
chasing responses, triggering follow-up actionProcess correspondence, ensuring that incoming correspondence is dealt with on behalf of the executive leaders, redirecting enquiries as appropriate across the organisationCommunicate effectively with key stakeholders internally and externally, via a range of mediums across all levels of the businessCoordinate and manage all aspects of general purchasing activities, including stationary, office supplies, grocery supplies, equipment, & furniture and manage the Officeworks account.General Office Coordination and managementFinance administration and expense management by ensuring any corporate credit card purchases are efficiently processed and creating purchase orders where required.Assist in the development of executive level reports and presentations that are required on a weekly, monthly and quarterly basisWho are you? With a proven background in executive assistance, you'll be adept at managing complex calendars, preparing reports, coordinating travel, and handling confidential information with the utmost discretion.
Your bilingual communication skills will be invaluable, enabling you to effectively interact with stakeholders and maintain smooth operations.
A true team player, you'll quickly build rapport with employees, as well as internal and external stakeholders, while delivering exceptional service and managing expectations.
Your strong interpersonal skills and ability to work autonomously will allow you to handle multiple competing priorities with ease, all while maintaining a high standard of service excellence.
You'll be agile and adaptable, shifting priorities as needed to align with different leaders' working styles and needs.
