Your new role
You will play a crucial role in ensuring the smooth operation of services. Your responsibilities include managing documentation, coordinating with various departments, and providing exceptional administrative support. This role is essential to the service team, ensuring that all processes run efficiently and effectively.
Your key responsibilities will include:
* Respond to customer enquiries and issues via phone and email, offering technical support and troubleshooting assistance.
* Accurately log job details and create job orders using internal data management systems, tracking progress and status.
* Prepare and send service quotes, generate work orders, and create invoices, maintaining regular client communication.
* Handle routine office tasks such as filing, scheduling, and correspondence.
* Enter and update data in various systems and databases.
* Compile and analyse data to create detailed management reports, presenting findings to management.
* Coordinate with other departments to ensure timely and accurate job completion.
* Maintain a high level of customer satisfaction through effective communication and problem-solving.
What you'll need to succeed
* To be successful in this role, you will have experience in similar administrative positions.
* Demonstrates a strong ability to follow established processes and procedures accurately and consistently.
* Strong organisational skills.
* Excellent communication abilities, both written and verbal.
* Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
* The ability to work independently and as part of a team.
* Attention to detail and a proactive approach to problem-solving.
* Experience of coordinating with multiple departments and managing documentation
