We are seeking a motivated and detail-oriented Administration Officer to manage our day-to-day office operations. The successful candidate will provide administrative support, ensure smooth functioning of office tasks, and work collaboratively with different departments to maintain a well-organized work environment.
Key Responsibilities:
1. General Office Support:
1. Answer and direct phone calls, take messages, and manage email inquiries.
2. Greet and assist visitors in a professional and friendly manner.
3. Maintain office supplies inventory by checking stock levels and placing orders when necessary.
4. Assist in the preparation of documents, reports, and presentations.
2. Data Entry and Record Keeping:
1. Input and update information into databases and systems accurately.
2. File and retrieve documents, both physical and digital, in an organized manner.
3. Maintain accurate records of correspondence and administrative files.
3. Scheduling and Coordination:
1. Schedule meetings, appointments, and maintain calendars for management and staff.
4. Communication and Correspondence:
1. Draft and distribute internal and external communications such as emails, memos, and letters.
2. Assist in preparing meeting agendas and take minutes during meetings.
5. Administrative Support:
1. Provide clerical support such as photocopying, scanning, and filing.
2. Assist in the preparation of expense reports and processing invoices.
3. Support various administrative projects and initiatives as needed.
Skills & Qualifications:
1. Strong organizational skills and attention to detail.
2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
3. Excellent verbal and written communication skills.
4. Ability to handle confidential information with discretion.
5. Strong time management skills and the ability to prioritize tasks effectively.
6. Positive attitude and willingness to learn.
Experience:
Previous experience in an administrative or office support role is an asset but not required. Full training will be provided.
