Your Skills & Experience: Previous PA/EA experience supporting senior managementAdvanced MS Office, database and document management skillsHigh level typing skills with accuracyExperience drafting correspondence from discussion or notesHigh level interpersonal and communication skills, both verbal and writtenExceptional organisational skillsHigh level of attention to detail and accuracy of work producedSystems oriented, with the ability to troubleshoot routine issuesStrong cultural awareness of Aboriginal and Torres Strait Islander peoplesStrong empathy combined with resilience and compassionBe able and willing to undergo a Criminal History CheckPossess a Current Working with Children Blue CardA Current and valid Queensland Open C Class Driving LicenceKey Responsibilities: Provide confidential and detailed administrative support to the Executive Manager, including, but not limited to, organizing, coordinating, and taking minutes, as well as preparing agendas and action sheets for leadership team meetings, board sessions, and the AGMManage the Executive's calendar, emails, and other correspondence on an ongoing basis, and handle the organization of training and travel arrangementsProfessionally and tactfully screen all inquiriesCoordinate and organise meetings, including those for management and leadership teams, as well as workshops and other events, ensuring smooth attendance tracking and venue bookingsCollaborate closely with the Executive Manager to plan and communicate marketing activities and coordinate both internal and external events, such as fundraising initiativesPrepare, review, and edit correspondence, briefing notes, presentations, agendas, and minutes for various formal meetings and committees as requiredProvide administrative support for projects, including conducting research, drafting reports, maintaining milestone tracking, and managing project documentationEstablish and maintain effective information and record-keeping systems, ensuring ease of access to important dataMaintain interagency data using Excel spreadsheets and the organisation's case management systemWork collaboratively with both internal and external stakeholders, fostering strong relationships with staff and managers across the organisationEnsure compliance with relevant legislation, such as the Fair Work Act 2009, WHS Act & Regulations 2011, Information Privacy Act 2009, Privacy Act 1988, Human Rights Act 2019, Anti-Discrimination Act 1991, and HSQF licensingConsistently uphold the organisation's mission and values in all activities.Actively contribute to maintaining a culture which values health, safety and well-beingThe Offer: This is a thrilling fast-paced full-time or part-time permanent opportunity where you will play an integral role in helping members of the local community.
