We are a leader in healthcare, education and research — and that’s because we employ exceptional people.The Executive Support Officer will have responsibility of providing high-level, confidential support to the Director of Allied Health (DAH) Services and Director of Mater at Home (DMAH) to ensure the efficient working of the clinical department. This role will work as part of the wider Executive Administrative Team to ensure organisational alignment and support the organisational strategy. This position is a maximum term contract until March 2026.ResponsibilitiesActively seek to understand the needs of the organisation and the contribution of the DAH’s & DMAH’s Office to the organisational strategyAct as intermediary between the DAH / DMAH’s departments and internal and external stakeholders, effectively managing enquiries through intercepting, screening and redirecting as appropriate in a professional, timely and respectful mannerManage the flow of information between the DAH / DMAH’s Office and internal and external stakeholders, to ensure reporting timelines are metExercise judgement, making appropriate decisions and resolving day-to-day operational issuesExamine, prioritise and determine action of incoming correspondence including email, written correspondence and reportsResearch, collate and draft information into appropriate reporting formats as necessary for decision making purposes and presentation to various forumsPrepare high-quality written correspondence and reports for dissemination to staff and other key stakeholders through effective written communicationOrganise meetings, workshops, prepare agendas, distribute meeting papers, take minutes and follow up on actions from meetingsMaintain an effective document management system for storing confidential documentsMaintain internal and external stakeholder relationshipsAbout you5 years previous administrative experienceHealth Industry and / or Hospital experienceAbility to promote the Vision, Mission and Values of MaterHigh level facilitation and influencing skills along with strong decision-making skills with the ability to set, manage and implement prioritiesSignificant, proven experience of identifying, developing, establishing and maintaining robust relationships with both internal and external stakeholdersAbility to create and develop collaborative work environments where trust, integrity and open communication are valuedApplications close on Thursday 20th March.
