We are seeking a highly organised and efficient Administration Assistant to provide support to our Executive Officer. In this role, you will manage a variety of office tasks, including handling communications, organising schedules, maintaining records, and ensuring the smooth operation of daily activities. While your primary focus will be on administrative duties, experience in travel consultancy or coordination is highly desirable, as you will also assist with arranging travel for the team. Key Responsibilities: Administrative Support: Manage calendars, schedules, and appointments for the Executive Officer, ensuring smooth day-to-day operations.Communication Management: Handle email correspondence, draft communications, and coordinate with internal and external stakeholders on behalf of the Executive Officer.Event Coordination: Assist in planning and organising large-scale events, including coordinating logistics, vendor communications, and on-the-day event support.Travel Arrangements: Oversee travel planning and itineraries for team members, ensuring efficient and cost-effective arrangements.Confidentiality: Manage sensitive information with discretion, ensuring confidentiality in all aspects of the role.Project Assistance: Provide support on special projects, ensuring deadlines are met and all tasks are completed accurately.Document Preparation and Management: Prepare reports, presentations, and other documents for meetings, ensuring accuracy and professionalism.Task Prioritisation: Proactively manage and prioritise the Executive Officer's tasks, ensuring that critical deadlines and responsibilities are addressed.Support for Strategic Initiatives: Assist in the coordination and tracking of strategic initiatives, working closely with the Executive Officer to ensure progress on key objectives. Skills and Experience: Proven experience in an administrative role.Prior experience in travel consultancy or coordination is highly desirable.Excellent organisational skills and attention to detail.Strong verbal and written communication skills.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Ability to multitask and prioritise workloads effectively.Problem-solving abilities and a proactive mindset.A customer-service-oriented approach and a friendly demeanour.Ability to work autonomously and part of a team The ideal candidate must be able to handle sensitive information with discretion and professionalism.
