Job Title: Event Logistics and Setup Manager
Contract Duration: Mid October 2024 – End of February 2025
Hours: 25-40 hours/week (flexible outside of event windows)
Location: Primarily Miami 4220 with various event locations (Sunshine Coast, Gold Coast, New South Wales), with warehouse work and travel required.
Job Summary:
We are seeking a highly organized and hands-on Event Logistics and Setup Manager to oversee the efficient preparation, transportation, and setup of all equipment and materials for the World Ocean Series events. The successful candidate will be responsible for converting sponsor and event deliverables into a detailed event layout and packing plan, ensuring that everything required is efficiently transported and set up on time. This role involves working with a small team, managing the warehouse, and coordinating with multiple departments to ensure seamless event execution.
Key Responsibilities:
• Event Layout & Planning: Translate sponsor and event deliverables into an organized event layout, packing list, and execution plan.
• Warehouse Management: Oversee the organization and preparation of the warehouse, ensuring all equipment is ready for transport.
• Logistics & Setup: Plan and manage the transportation of event equipment, ensuring minimal use of trucks and equipment. Set up staging, sponsorship materials, event markers, and activation zones on-site.
• On-Site Management: Serve as the on-site logistics manager for four major events across Queensland and New South Wales. Coordinate setup, pack-down, and troubleshoot any on-site issues.
• Team Management: Supervise a small team during event weeks and hire temporary staff as required for pre- and post-event setup.
• Vendor Coordination: Work with third-party providers for services such as PA systems, staging, and other event infrastructure.
• Budget Management: Find cost-effective solutions for logistics and transportation, while staying within budget.
• Cross-Company Coordination: Work closely with other departments across our business to ensure resources are used efficiently.
Qualifications and Experience:
• Experience: Background in project management, event management, or a building industry role.
• Skills: Strong organizational, planning, and problem-solving skills, with an eye for detail.
• Licenses: Forklift license preferred, truck license preferred but not mandatory.
• Technical Proficiency: Comfortable using Microsoft Office Suite, particularly Excel, for task planning and communication.
• Physical Ability: Ability to handle manual labor, including heavy lifting and managing event equipment.
• Travel: Willingness to travel and manage logistics on-site during event weeks.
