BUSINESS SUPPORT OFFICER
About the role
The Bloomfield Group are seeking a Business Support Officer to provide superior service and support to customers to ensure a seamless experience and customer satisfaction is maximised. This role will play a crucial role in providing assistance to both internal and external customers, addressing their inquiries, providing quotations, and delivering timely resolutions.
The successful candidate will report directly to the Commercial Manager and will provide superior service and administration support to internal stakeholder’s including job support, timesheet management along with accounts and invoicing support. We are looking for someone with strong experience within a similar role in a similar environment in manufacturing or engineering.
Key Responsibilities
* Job support: Creation and preparation of workshop jobs for authorisation and invoicing. This includes preparation and maintenance project related correspondence and reports.
* Timesheet management: Follow up & input time sheets data into the accounting system daily. Support to check employee timesheets, ensuring accuracy and timely submission for payroll.
* Site labour support: Collecting site based timesheets to prepare of weekly contract labour invoices & spreadsheets
* General ledger: Assist with general ledger reconciliations and journal entries.
* Credit control: Follow up on outstanding invoices and maintain accurate customer records
* Team support: Deliver prompt and effective admin support to business stakeholders to address/redirect inquiries related to invoicing, jobs, portals, queries and other business related issues.
* Mail and courier management: Coordinate internal and external mail and courier items, including sending letters and packages, receiving and distributing mail.
* Office management: Manage and maintain office supplies and equipment.
* Reception duties: Answer phone calls and direct inquiries appropriately.
* Any other duties as required from time to time
Essential Criteria
* Minimum four years’ experience in an administrative role within a workshop or manufacturing environment, with a proven track record in job management.
* Exceptional organisational skills with a demonstrated ability to effectively prioritise and manage multiple tasks to meet strict deadlines.
* Advanced proficiency in Microsoft Office Suite, with a particular emphasis on Excel and Word.
* Proven experience in utilising accounting software to support financial processes.
* Strong interpersonal skills with the ability to collaborate effectively within a team and work independently as required.
* Excellent written and verbal communication skills to foster clear and professional interactions.
* Confident and professional telephone manner for effective client and stakeholder engagement.
* Strong attention to detail to ensure precision and accuracy in all work outputs.
* Current NSW Driver’s Licence for business travel as needed.
