In-person interviews will take place on Wednesday, January 29th.JOB SUMMARY:Reporting to the Manager of Finance, the Finance & Reporting Specialist helps us make a difference in our community by building and maintaining highly efficient, well-organized finance operations to support programs across the entire organization. They use strong accounting skills, a keen ability to identify and implement administrative efficiencies, a good work ethic, and strong interpersonal skills. This position is responsible for all aspects of financial reporting (scheduled and ad hoc), including planning, preparing, and submitting reports to funders and other stakeholders. The Finance and Reporting Specialist will collaborate within the finance team as well as with program directors and managers to provide accurate, clear, concise and insightful reporting and analysis to internal and external stakeholders.DUTIES AND RESPONSIBILITIES:Financial Reporting:Prepare, review, and ensure the accuracy of financial reports, including monthly, quarterly, and annual reports, as well as ad hoc reports for funders and stakeholders to ensure complianceDevelop and maintain reporting templates and processes to streamline and standardize financial reporting activitiesCollaborate with program directors and managers to gather necessary financial data and insights for reporting purposesEnsure compliance with reporting requirements and regulatory guidelinesProcess monthly general ledger journal entries or adjustments, including allocationsCollaboration and Engagement:Work closely with program directors, managers, and other internal teams to understand their reporting needs and provide accurate and insightful financial analysis and reportsCollaborate with the finance team to support budgeting, forecasting, and financial planning activitiesResponsible for maintaining deferred revenue listings and assisting program directors and managers to ensure funds are used in a timely mannerAssist in the preparation of presentations and reports for board meetings and executive leadershipRespond to queries and requests for financial information from funders, auditors, and other external partners or groupsFinancial Analysis and Insights:Analyze financial data and trends to identify key insights, risks, and opportunities for improvementProvide recommendations and support to program directors and managers in financial decision-making processesMonitor financial performance against budget and forecast, highlighting areas of concern and proposing corrective actionsConduct variance analysis and prepare financial commentaries for management reviewComplete finance-related surveys and other ad hoc analysis, accounting, and administrative dutiesResponsible for account reconciliations (bank, trust liability, GL, etc.) and oversight of accounts receivable ensuring timely collections of accounts receivable.Develop and utilize financial models to facilitate forecasting, scenario analysis and financial decision-makingProcess Improvements:Actively assess and improve financial reporting processes and systems to enhance efficiency, accuracy, and data integrityIdentify opportunities for automation and standardization of reporting tasksParticipate in finance system implementations or upgrades, ensuring the successful integration of reporting requirementsDocument changes and improvements by updating the accounting procedure manual regularlyMaintain effective filing systems/procedures for retention, transfer and disposal of recordsQUALIFICATIONS AND EXPERIENCE:Bachelor's degree in finance, accounting, business administration, economics or similar field of study3-5 years prior finance experience requiredAn equivalent combination of education and experience may be consideredExperience in a non-profit organization is considered an assetExperience with Sage and/or Prophix accounting software is an assetSKILLS AND ABILITIES:Proficient in accounting and financial reporting principles and practicesSkilled in designing, implementing, and managing complex reporting processes, with a focus on improvementAdvanced MS Excel skills (e.g., pivot tables, graphs, charts) and proficiency in MS Office (Outlook, Teams, Word, PowerPoint)Strong attention to detail, accuracy, and efficiencyEffective problem-solving, decision-making, and multitasking abilities in a fast-paced environmentExcellent verbal and written communication, active listening, and interpersonal skillsDemonstrated ability to maintain confidentiality, discretion, and diplomacy in interactions with staff, volunteers, and the publicFlexible and collaborative team player who thrives in a dynamic environmentADDITIONAL INFORMATION:Beacon Community Services serves vulnerable populations including seniors, people with disabilities and children.
