About the role: As a Document Controller with Fleetwood Building Solutions, you will play a pivotal role within our Design & Construction team. You will be responsible for providing effective and timely administrative and document support to the business across a diverse range of projects. This will include ensuring all project information and documentation is generated, received, maintained, and processed in a timely and accurate manner in Fleetwood internal systems, as well as document management platforms such as Aconex. This position will be based out of our Crestmead office and will commence as a 12-month contract with the prospect of becoming a permanent position. The key responsibilities of the role are to: Ensure that all project information and documentation is generated/received, maintained, and processed in a timely and accurate manner in Fleetwood internal systems as well as Documentation Management platforms such as Aconex. Develop and maintain effective working relationships with all program/project stakeholders, internal and external to enable the performance of this position. Producing regular and ad hoc reports on project status, including outstanding documentation for Management. Monitor and compile all certification requirements for building act compliance in a timely manner. Liaise and correspond with program/project stakeholders as required. Generate, follow up, maintain, and process documentation. Populate and maintain Document Control Register. Preparation and issue of document transmittals. Responsible for all Document Control including correct filing of electronic and hard copy documentation, file naming conventions, and setup where necessary documentation protocols. Monitor and update registers in a timely and accurate manner (i.e., Technical Queries, Request for Information, Insurance and Contractor Documentation). Assist in the processes involved in requesting and obtaining regulatory approvals (i.e., building permits). Submit relevant documents to client and/or consultants/subcontractors. Escalate matters requiring management decisions and/or attention. Assist in the review and development of administrative systems and procedures. Ensure compliance with Fleetwood policies and procedures at all times. Provide feedback and recommendations relating to work processes and equipment/service suppliers. Attending and minuting scheduled meetings as required, ensuring timely distribution. About You: The successful candidate will demonstrate exceptional administration skills with an eye for detail, and they will have a strong ability to build both internal and external relationships. You will hold previous experience in a document control position and possess fantastic communication and organisation skills. To be successful in this role you will demonstrate: Experience working within a project and design environment. Excellent written and verbal communication skills. Time management skills with an ability to work under pressure and plan and prioritise workloads in order to meet deadlines. Advanced clerical and administrative skills including sound analytical skills and accurate record keeping. Experience with Aconex. Intermediate computer literacy including Microsoft suite of programs (Word, Outlook, Excel). Commitment to the efficient and effective delivery of quality customer service.
