About the Victorian School Building Authority The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the state introduced free public education in the 1870s. The VSBA upgrades and expands existing schools and plans, designs and builds new schools to meet enrolment demand. We also support schools to maintain their buildings and grounds by offering expert advice and coordinating maintenance programs and grants. With Victoria recently introducing two years of funded kindergarten, the VSBA is also working with the early childhood sector on a massive kindergarten construction program. About the Division The VSBA is recruiting two Administration Officers, one for the Major Projects & Property Division and another for the Project Delivery Division. Each Administration Officer will support 2 branches in their respective divisions as detailed below. Major Projects & Property Division is responsible for delivering educational infrastructure projects and programs, including the acquisition and management of land as well as delivery of capital infrastructure projects. The Major Projects branches are responsible for the management and delivery of major infrastructure projects including new schools, upgrade and modernization initiatives, kinder on school sites and learning centres. Projects are normally high value and high risk (typically more than $25 million). Complexities range across design, procurement and construction, including vertical schools. Types of projects include ‘stand-alone' schools and ‘bundles of schools' for growth areas. Programs for delivery are time critical, based on enrolments and the school year. We consider successful project delivery to include strong stakeholder relationship management, effective risk and issues management, quality communications strategy and implementation and excellent customer service to all stakeholders. The Project Delivery Division is responsible for delivering educational infrastructure projects and programs. Projects are usually valued between $1- $25 million and are complex due to them being predominantly delivered on operational school sites. Project Delivery Division has two Branches, East and West, which manage projects responsible for the upgrade and modernisation of school buildings in Victorian schools. Our teams are responsible for directing consultants, contractors, and external stakeholders, in both greenfields and brownfields infrastructure, and have skills and experience in customer service, stakeholder management, project management, contract management and procurement. About the Role The Administration Officer (AO) role provides support to two Branch Directors with tasks including email and calendar management, email and document distribution, processing invoices, organizing room bookings and providing administrative assistance for meetings. The Administration Officer ensures completion of time critical tasks, maintain accurate and accessible records, and works closesly with Executive Assistants and Administration Officers across the Victorian School Building Authority. This may also include dealing with email queries received via the external general enquiry line. The Administration Officer role is the central point of contact for both branches, which includes redirecting enquiries to relevant team members of the branch. Regularly liaising with internal stakeholders, you will know ‘who to go to for what' within the VSBA. Understanding department procurement policy and guidelines is key to the role so that you can guide the team on how to process expense reimbursements, car hire, travel bookings and all their meeting needs. Integral to creating a supportive working environment, the Administration Officer manages webex groups and team catch up's. New staff will be settled in with your coordination for access requirements with security, IT, staffing services and HR, making sure they have all they need to get started on day one. You will also manage branch resources such as stationary, IT equipment, high vis and hard hats. All VSBA staff have a shared responsibility to meet the same service standards outlined in the VSBA Customer Service Charter. Desirable Qualifications and Experience Required: Experience in administration roles for state government, architecture, construction, engineering, or project management organisations.
