Key Responsibilities:
* Utilize Collection Management Software (Vernon) to update records, documentation, location and condition reporting of Collection assets.
* Maintain and update inventory including gifts, internal and external loans, acquisitions and de-accession processing.
* Serve as primary contact for general Collection enquiries.
* Undertake specialized condition reporting, make recommendations for fine art conservation and display requirements for high value artworks – both owned by the University and on loan from Australian and International institutions.
* Coordinate art crating, shipping and handling requirements for the Collection.
* Assist the Collection Manager in complex proposals, planning and coordination of on and off campus displays.
* Prepare legal documents and procedures for loans and copyright.
* Prepare works for display including organizing framing, conservation and freight.
* Facilitate requests for access to the Collection and its records for research.
* Support the administration of the museum's submissions for the Australian Government's Cultural Gifts Program, including liaison with valuers, donors and government officials, and preparing documentation.
* Support the preparation of reporting for the MUMA Committee, Annual Report and various other stakeholders.

The Assistant Registrar Role:
The Assistant Registrar – Monash University Collection helps coordinate the care, loan and display of the Monash University Collection, as administered by the Monash University Museum of Art | MUMA.
The Assistant Registrar is responsible for providing support in all areas across record keeping, data entry, legal documents and contacts, retrieval and movements of the Collection and associated archives, acquisitions, de-accessions, inward and outward loans, packing, freight, inventory, storage, insurance, condition reporting and Collection reporting.
The Assistant Registrar supports other areas to achieve the goals of MUMA including exhibitions, publications, communications, fundraising, education and public programs.
