In this role, you will be a key support to our warehouse operations, handling specialized administrative tasks to ensure smooth daily workflows and efficient coordination across our Mackay office and warehouse. Your responsibilities will include but are not limited to: Warehouse Reception and Visitor Management : Greet visitors and manage the warehouse reception area, oversee sign-in sheets, scan timesheets and pre-start forms, and coordinate incoming and outgoing deliveries and dispatches. Warehouse Logistics and Inventory Coordination : Organize and manage freight and transport, monitor stock levels of warehouse essentials such as PPE, amenities, workshop stationery, gas, and tools, and support the on-site IT needs for the warehouse, including laptops and phones. Work Order and PO Management : Generate and track work orders, handle supplier purchase orders in systems like Phoenix and SAP EDI, and manage goods receipting and order confirmations to maintain warehouse operations. Data Entry and Records Management : Perform accurate data entry for timesheets, maintain and scan records of work orders, track expenses for warehouse staff, and perform monthly credit card reconciliations for operational costs. Client and Supplier Coordination : Oversee client invoicing and close out work orders, maintain communication with suppliers, and ensure smooth transaction processing aligned with warehouse activities. Employee Onboarding and Travel Coordination : Assist with onboarding new warehouse employees, provide leave coverage support, and handle travel bookings and other administrative tasks essential to warehouse operations.
